What you can do

Keep a booking beside its charge

Outlet bookings record a restaurant or spa appointment against a reservation. They carry the outlet type, name, start time and guest count. Outlet charges record the money side separately, with a charged date, amount and posting status. Both records refer to the reservation, letting the desk and finance team trace outlet activity back to the guest stay.

A guest might book the restaurant for four people and later incur a charge. The Front Desk Agent records the booking with its time and party size so the outlet can prepare. Finance Officer reviews the resulting charge before treating it as posted. The booking itself does not establish that a charge was incurred, and a draft charge should not be treated as settled account evidence.

How the work is organized

  • Booking. Front Desk Agent records the reservation, outlet type, name, start time and party size.
  • Charge. Finance Officer keeps the related outlet amount in Draft until it is ready to post.
  • Account. Operations Reviewer can examine posted outlet charges with folio items and payments at departure.

The reservation link matters when a guest has more than one visit to an outlet. Staff can use booking and charge numbers to identify the specific records, while the common reservation keeps them in the same guest context. Use the start time and linked stay to discuss each outlet booking with staff.

What to agree during setup

Agree on outlet names, who enters a booking and how a change of time reaches the restaurant or spa. Decide how the outlet confirms attendance and sends charges to Finance Officer. Establish who may post or void a charge and how a disputed amount is handled. If the property runs a point-of-sale or separate spa scheduler, treat those as systems to connect with a clear owner for each handoff.

Check the handoff on an actual case

Select a checked-in reservation and record a restaurant booking for a party of four. Ask the desk to find it by its start time and identify the linked stay. Add a draft outlet charge and have Finance Officer review the amount and reservation before posting it. Then present a second booking for the same guest and verify that staff can distinguish the two. At departure, Operations Reviewer checks posted charges alongside folio items and confirmed payments.

What your team sees

  • Outlet bookings by date — Staff review dated restaurant and spa bookings linked to stays.
  • Posted outlet charges — Finance Officer checks amounts that entered the guest account.
  • In-house stays — The desk can return to the guest’s current reservation for context.
