What you can do
Give each job a destination
Service tasks connect a unit and reservation to an assigned staff member. The task type distinguishes cleaning, maintenance and guest service, while its due date and status show what remains to be done. People records connect staff names to user accounts, giving the Property Manager a clear assignment target. The task number lets the desk and worker discuss the same job even when several requests concern one room.
For example, a guest reports that a room needs maintenance before dinner. The Front Desk Agent records a task against the guest’s reservation and unit, then selects the staff member responsible. A later cleaning task for the same unit is separate work with its own due time. The manager can review both tasks and decide which work must finish before the unit is offered again.
How the work is organized
- Intake. Record the task type, unit, reservation and due date when the need is identified.
- Assignment. Select the staff member in People and move the job into assigned work.
- Completion. Record when the work is done and review unit readiness separately.
The task status has a useful sequence from Open to Assigned to in progress to Completed. Completed at gives the team a dated completion point. Unit status answers a different question: a completed cleaning task provides evidence for returning a room to availability, while the manager still makes the readiness decision.
What to agree during setup
Choose who may create each task type, who assigns staff and who checks completed housekeeping. Decide how staff handle a task for an occupied room and whether the guest must be contacted before entry. Define when a maintenance issue changes the unit to Maintenance. Keep staff records current when a person leaves or moves role; the historical task still needs to show who was assigned at the time.
Check the handoff on an actual case
Start with a checked-out reservation and its unit marked Cleaning. Create a cleaning task, assign an active person and give it a due date. Ask the agent to find it in their work list and update its progress. Have the Property Manager check completion time and the unit status before allowing a new booking. Run a second case where a maintenance task remains in progress; the unit should stay out of the available list while the team resolves the issue.
What your team sees
- Open service work — The desk and manager see jobs awaiting assignment or completion.
- My staff record — Signed-in staff can check the person record used for assignments.
- Units needing service — Room status shows where cleaning or maintenance is still relevant.
