What you can do
Know what can be offered
Units are the property’s bookable inventory. A unit can be a room, suite or another resource used for a guest stay or service. Its number, type, capacity and current status help the Property Manager decide whether to offer it. Rate plans give the desk dated nightly prices and minimum-night rules for a unit type. The reservation records the rate chosen for that particular stay.
Consider a suite with capacity for four guests and two rate plans covering different seasons. When a request arrives, the manager checks the guest count against capacity, then checks the dates and relevant rate plan. The nightly rate entered on the reservation is the price the team will use for that stay. A later change to a rate plan should not be treated as a change to a guest’s existing quoted rate.
How the work is organized
- Inventory. Property Manager keeps unit numbers, types, capacities and statuses current.
- Pricing. Property Manager reviews each rate plan’s start, end, nightly rate and minimum nights.
- Readiness. The desk consults unit status before offering or receiving a guest; cleaning and maintenance need their own handoff.
A unit marked Occupied reflects current use. Cleaning and Maintenance signal work before reuse. The status list helps the desk discuss readiness with the property team, while the reservation dates explain future commitments. The two sources answer different questions and should be reviewed together.
What to agree during setup
Agree on unit numbering, type names and how shared resources are represented. Decide whether rate plan dates refer to local property dates and who checks gaps or overlaps between plans. Choose an owner for status changes after housekeeping finishes. Set a policy for capacity exceptions and a clear escalation when a guest count exceeds the assigned unit’s capacity. Keep obsolete unit identities available for historical stays rather than assigning their codes to a different physical room.
Check the handoff on an actual case
Choose an available unit, a rate plan spanning the requested nights and a second request overlapping the same unit. Have the Front Desk Agent explain which reservation can be confirmed and which needs a different unit or dates. Check a request shorter than the plan’s minimum nights. Then move a unit through Cleaning and ask the desk which screen it would consult before a new arrival. The exercise should show that a current Available label alone cannot resolve a future date conflict.
