What you can do

Turn a confirmed stay into an active one

Front Desk Agent starts check-in from a confirmed reservation. The arrival records the actual check-in, changes the reservation to checked in and marks its unit occupied. The workflow validates the acting person, linked source identity, lifecycle state, revision and operation key before a write. Those checks matter at a busy desk: a repeated request with the same input should return the prior saved result, while a changed request needs a deliberate review.

The stay then provides the context for service tasks. Cleaning, maintenance and guest service work connects to both a unit and a reservation and has an assigned person, due date, completion date and state. The desk can open a task, Property Manager can assign or adjust it, and the team can track it through completion. A task belongs to the actual stay rather than only to a room number that may host a different guest next week.

How the work is organized

  • Arrival. Front Desk Agent checks in a confirmed reservation and marks its unit occupied.
  • Work assignment. Service tasks record the type, unit, reservation, due date and staff owner.
  • Financial separation. Authorized folio charges can start as drafts, while payment confirmation remains a separate event.

In-House Stays gives the desk the current occupied-stay list. Service Task Board shows work that is open, assigned or in progress. The board names the assigned person for each task. Together these screens let a shift hand over the guest’s stay and the work that still needs attention.

What to agree during setup

Agree what the desk must inspect at arrival before it submits check-in. Identify the staff roster, task types and due-date convention. A task’s state should reflect actual progress: assigned means someone owns it, in progress means work has started, and completed means the team recorded a finish. The due and completion dates help the manager review whether a unit was ready when it was needed.

Choose who may prepare draft folio charges during a stay and who reviews them before they are used at checkout. The money side has a separate authority path. A locally saved payment with pending status is not a confirmed receipt; Finance Officer waits for provider-confirmed evidence before reconciling it.

Check the handoff on an actual case

A guest arrives for a confirmed room reservation. Front Desk Agent opens the confirmed arrival, checks the guest and unit, then submits check-in. The reservation becomes checked in and the unit occupied. The desk opens a maintenance task tied to that room and stay, assigns it to a staff member and sets a due date. The manager checks the assignee and due date on the shared board.

The desk loses its response after submitting check-in and tries the same operation key again. The saved outcome should return without another arrival record. A changed input or stale revision should stop for review. If a service charge is needed, it begins as a draft against the same reservation. No payment should become confirmed merely because the guest was checked in or a charge was created.
