What you can do
Keep people attached to the work they own
A party can be a guest, group or company making a booking. Property Manager maintains its name and contact details, then links it to a reservation. The reservation is the operating record for dates, unit, party size and rate. Keeping the party separate lets the team find the guest’s contact without duplicating it across every charge, outlet booking and service task.
Staff members are recorded as people with a name, role title, active setting and linked user. Service work points to the assigned person. That link is important when a cleaning, maintenance or guest service task changes hands: the unit and reservation stay the same while the person responsible is visible. Front Desk Agent and Property Manager can inspect work by assignment, and Operations Reviewer can trace the source behind a decision.
How the work is organized
- Booking parties. Property Manager keeps the named guest, group or company available for reservations.
- Staff identity. Each service owner is a person connected to a user, with an active setting for the roster.
- Task ownership. A service task joins the assignee to its unit, reservation, due date and state.
The service task board helps shift leads see what remains open, assigned or in progress. My Staff Profile lets a signed-in desk or property worker confirm the person record linked to their user account. The shared task board shows assignments; the person reference traces each task to that staff record.
What to agree during setup
Choose how guest parties are named when an individual books for a group or company. Agree how email and phone details are maintained so a changed contact is corrected at the party record. Set the expected handoff when the guest party changes before arrival; the reservation should still point to the party responsible for that stay.
Map each staff member to the right user before assigning service work. Agree who marks a person active or inactive and who can reassign a task when a shift changes. The configured roles separate desk capture, property setup, finance preparation and operational review. Check the user access boundary with real users during setup rather than relying on a role name alone.
Check the handoff on an actual case
A guest books a room and a spa session. Property Manager creates the guest party once and links the reservation to it. Front Desk Agent attaches the outlet booking to the same reservation. The spa activity and any later charge can be found from the stay, while the party contact remains in one place.
On arrival, a cleaning task is assigned to a staff member for the unit. Property Manager checks the assignee, due date and reservation on Service Task Board. If the shift changes, Property Manager updates the assignment. The board should show the new assignee while retaining the original unit and reservation. Operations Reviewer should be able to inspect the evidence associated with the stay without gaining finance preparation rights.
