What you can do
Keep outlet activity with the reservation
A restaurant or spa booking records its outlet type, outlet name, start date and guest count against a selected reservation. Front Desk Agent submits the booking from the specialty page. The workflow resolves the reservation and permitted actor, validates the command, saves the attributed booking and sends immutable evidence to the responsible reviewer. It then refreshes the linked reservation detail and specialty page projection, so the desk can see the result where the request began.
Outlet charges also belong to a reservation. Their amount, outlet name, charge date and status make them available for Finance Officer’s folio review. The authorized path moves a charge from draft to posted and, when necessary, to voided. The workflow checks the linked reservation, permitted actor and source evidence before it reports the saved outcome. A posted charge remains distinguishable from a draft; a voided charge remains part of the history.
How the work is organized
- Booking capture. Front Desk Agent records a restaurant or spa visit against a selected stay.
- Source review. Operations Reviewer receives attributed evidence for eligible outlet outcomes.
- Charge control. Finance Officer reviews outlet amounts and status before checkout reconciliation.
Outlet Booking Diary shows the booked outlet, start date, party size and reservation. Draft Outlet Charges gives finance and review staff a focused queue. Posted Outlet Charges shows activity ready to compare with the final folio. The link back to the reservation keeps a meal or treatment charge from being explained only by an outlet name.
What to agree during setup
Agree the outlet names the desk should use and who may submit a booking for a guest. Decide how a guest count on an outlet booking relates to the reservation’s party size; staff should confirm the intended visit rather than assume they are identical. Establish how the responsible reviewer checks submitted evidence and how Finance Officer identifies an eligible posted charge.
Set the correction practice for an outlet charge before using the specialty page in live shifts. A draft may be completed or corrected before posting; an invalid posted charge follows the authorized voided path. The team should keep the original source and charge identity connected so Finance Officer can explain the adjustment at checkout. The property should also agree which bookings are tied to a stay when several guests share one reservation.
Check the handoff on an actual case
A checked-in guest asks for a spa appointment. Front Desk Agent selects the stay, records the spa outlet, start date and guest count, and submits the booking. The desk checks both the specialty page and the linked reservation detail after the workflow saves it. Operations Reviewer can trace the attributed evidence to the selected stay.
After the visit, an outlet charge is prepared against that reservation. Finance Officer checks its amount and date before the authorized posting path. If the visit was cancelled and the charge should not stand, the team uses the voided state rather than removing the link. At checkout, finance compares posted activity with confirmed payments and can trace the final figure back to this booking and charge.
