What you can do
Make the unit a decision the desk can trust
A unit may be a room, suite, venue, table or treatment room. Property Manager maintains its type, number, capacity and current status. The desk uses the capacity and reservation dates during confirmation, then relies on readiness when a guest arrives. A unit marked available is suitable for a new operating decision; a unit occupied, cleaning or under maintenance needs attention before it can be offered as ready.
Rate plans record a unit type, start and end dates, nightly rate and minimum-night rule. They give Property Manager a dated pricing reference while the reservation retains the rate agreed for that particular stay. Keeping the rate on the reservation matters when a plan is later updated: the team can still read what was recorded for the guest’s booking.
How the work is organized
- Inventory. Property Manager maintains each unit’s type, capacity and current readiness status.
- Pricing periods. Dated rate plans organize nightly prices and minimum stays by unit type.
- Turnover. Checkout moves an occupied unit into cleaning; a passed housekeeping inspection returns it to available.
Unit Readiness gives the desk a focused list for current decisions. Rate Plan Schedule pairs start and end dates so the manager can inspect which pricing periods are recorded. The reservation’s chosen unit is the anchor when the team checks occupancy, assigned service work and the next arrival.
What to agree during setup
Settle unit codes, human-readable unit numbers and unit types before importing current reservations. Capacity should mean the number of guests accepted by the confirmation workflow. Decide who can maintain a unit’s status and how the desk will learn that a cleaning or maintenance job is complete. The housekeeping inspection is the release decision after checkout; simply closing a service task should not be confused with making the unit available.
Agree the property calendar for rate-plan effective dates and minimum-night rules. Test a plan change around a booking already confirmed. The booking keeps its recorded nightly rate, while Property Manager reviews the plan before recording a rate for a new request. Confirm that the desk understands the interval convention: a guest’s departure date does not occupy the following night.
Check the handoff on an actual case
A guest leaves a room in the morning, and another party is expected later. The first reservation moves through checkout. The unit becomes cleaning while a cleaning task and inspection are handled. Property Manager verifies the inspection passed before returning the unit to available. Front Desk Agent then checks the next reservation’s dates and party size against that unit. The desk can explain why the next stay may be confirmed without treating the earlier departure day as an overlapping night.
Try the same case with a maintenance issue. The unit should remain visibly unavailable while the responsible people resolve the work. A later rate-plan edit should not silently change the nightly rate already recorded on either reservation. Finance Officer can read the recorded rate when reviewing the final folio, even if the plan for future dates has changed.
