Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the foundation

Agree organizations, campuses, departments, job titles, positions, calendars and people identifiers. Name the owners of pay, faculty review and hiring decisions.

  2. Load staff and openings

Import employees and history after reference data. Reconcile their position, manager, location and payroll calendar. Add open requisitions and active applications.

  3. Set up faculty work

Configure the academic calendar for the first term and enter assignments with employee, owner, course reference and teaching hours. Test evidence and revision review.

  4. Rehearse operating cycles

Work a hire, a leave approval, a submitted timesheet, a payroll run and a performance review with the named people who will use them.

  5. Review and expand

Check access, reconcile source systems and close pilot follow-up actions before adding other campuses or organizations.

FAQ

Questions, answered

Scope, rollout and pricing for Education HRMS.

All questions
How do I get started?

Click Get started, then use Proto to configure HRMS for Education for your business. Begin with one organization, academic calendar, campus, approved opening and faculty assignment so the team can rehearse its decisions.

Can we work across several campuses?

Yes. Locations hold campuses and other work sites, while departments, positions and employees retain their own references. Agree the codes and access scope before importing additional sites.

How are faculty assignments tied to the academic year?

Each assignment refers to an academic calendar and holds an academic date and term. The coordinator should check the effective calendar and the employee before preparing review.

Who approves a faculty assignment?

Name a Faculty Reviewer who checks the assignment revision and supporting evidence. Their decision records the reviewer, source revision, outcome and reason.

How do hiring approvals work?

A requisition can wait for approval before recruiting. An offer has its own approval state, proposed pay and start date. Assign the decision maker for each handoff during setup.

Can managers review leave and timesheets?

Leave requests and timesheets each have an approver reference and submitted status. Give managers the relevant worklists and rehearse a decision against the detail record.

What connects payroll to employees?

Employees carry a payroll calendar; pay statements link a run to an employee. Check the calendar, period and statement amounts before the run approval decision.

How do we follow onboarding work?

An employee checklist groups dated tasks with categories, assignees and statuses. Blocked or pending tasks remain visible to HR and the hiring manager.

Can we track performance and training?

Performance cycles contain subject-by-reviewer reviews. Courses, enrollments and training records keep assigned learning and completion history tied to the employee.

What should we connect before using payment or filing statuses?

Identify the payment and filing owners, map their identifiers and establish a confirmation and reconciliation step. Internal approval is only one part of those operating cycles.
