What you can do
Make the period and approver visible
Employees request leave against a leave type with start and end dates. The request has a named approver and moves through submission, approval or rejection before it is taken. Leave balances show accrued, taken, pending and available amounts as of a dated balance. Managers need those numbers alongside the dates to make a sound decision, particularly when an absence overlaps teaching assignments or a busy term.
A timesheet groups time entries by employee and week. Time entries show hours, date and category, with optional project or cost center. The timesheet’s approver checks the weekly total and individual entries before the status advances. Payroll Specialist then works from a payroll calendar and period, preparing a payroll run and associated employee pay statements. The run’s status and approving employee make its review visible.
How the work is organized
- Leave policy. Leave types hold accrual method, documentation requirement and effective availability.
- Time capture. Weekly timesheets contain dated entries for regular or other hour categories.
- Pay period. Payroll calendars set frequency and cutoff; runs and statements retain the amounts and status.
A useful pilot case is a faculty member taking leave during an active assignment. The manager sees the request dates and leave balance, approves the submitted request, and asks the Faculty Coordinator to check the assignment’s leave entries and teaching hours. The Payroll Specialist checks the same employee’s timesheet and calendar before including them in a payroll period. Those records have distinct owners and should be reconciled before pay approval.
What to agree during setup
Assign each employee to the correct payroll calendar, entity, country and currency. Decide which leave types apply by country and employee class. Agree when balance updates are made and what a manager should do if a balance is stale. Set the documentation rule for each leave type, then decide where documents will be retained and who may inspect them.
For time, agree whether part-time and contract staff submit weekly timesheets and which categories payroll will recognize. Decide the cutoff relative to the pay date and who approves late changes. Pay statements include gross pay, deductions and net pay; people with access to teaching assignments should not automatically get access to those amounts. Establish a separate owner for payment execution and statutory submission connections.
Check the handoff on an actual case
Submit one leave request spanning several dates. Ask the manager to verify the leave type, dates, days and balance before approval. Confirm that the approved request appears in the leave schedule and that the faculty assignment owner can reconcile any affected teaching work. Then submit a weekly timesheet for the same employee and have its approver inspect the detail entries rather than only the total.
Prepare a payroll run for a known calendar period. Check that statements reference the correct run and employee, that period dates agree, and that the approving person reviews the run totals. A posted or paid status must follow the organization’s separate execution procedure; record the reconciliation reference before closing the period.
