What you can do

Know which training belongs to the worker

The course catalog distinguishes safety, technical, compliance, onboarding and leadership learning. L&D Admin maintains each course’s code, delivery method, duration and mandatory flag. An enrollment connects a worker to a course, assignment reason, due date and progress status. Once training is completed, a training record retains the title, provider, completion date, certificate reference and expiry date.

For a production role, begin with the safety course that applies to the worker’s job. The enrollment answers who has been assigned and who is still in progress. The training record answers what was completed and whether the resulting certificate remains valid. Those questions should remain separate when a worker transfers to another position.

How the work is organized

  • Catalog. The course catalog names the learning item, category, delivery method and whether it is mandatory.
  • Assignment. A course enrollment ties the course to an employee and carries due date, score and progress.
  • Evidence. A training record keeps the dated completion and certificate status after the learning event.

L&D Admin can review enrollments still marked enrolled or in progress, then look separately at training records nearing expiry. A completion date is more useful when it points to the exact employee and course. A certificate URL is a locator for evidence; the team should still verify that the document is the right record for the worker.

What to agree during setup

Choose course codes and decide which safety courses apply to each role. Agree on the person who records completion, the source of any score and the rule for entering expiry dates. If an external learning system delivers lessons, define how its completion evidence reaches the training record and who checks it. A course being active or mandatory in the catalog does not itself identify every worker who needs an enrollment; assignment ownership belongs to L&D Admin.

Also decide how to handle expired or revoked training. The status values distinguish a valid record from one needing review. L&D Admin should show the current evidence to the person responsible for assigning the worker’s tasks.

Check the handoff on an actual case

Select a worker transferring from packing to maintenance. Open the employee’s existing safety training, assign the technical course for the destination role and set a due date. After completion, record the provider, date and certificate reference. Review whether an earlier certificate is still valid and whether a new enrollment remains open. This case tests the difference between a learning assignment and durable evidence.

Run an expiry case too: find a record approaching its date, confirm the employee and course, and assign the next training action. The team should be able to identify the affected worker before the certificate expires.

What your team sees

  • Courses in progress — Assigned courses with worker, due date and current enrollment status.
  • Training certificates to review — Expiring or expired records with their completion evidence.

Follow the work through

Use training assignment to follow a course from assignment to recorded completion, and hiring and onboarding to place learning in a starter’s first work cycle.
