What you can do
Give every working week a clear owner
Employees enter hours by day under a weekly timesheet. A time entry distinguishes regular, overtime, double time and on-call work, with optional project and cost-center context. The weekly header shows the employee, week, total hours and approver. That pairing lets the named approver inspect the detailed days before accepting the week.
A leave request follows a different path. The employee chooses a leave type and start and end dates, then submits it to the named approver. The leave balance holds accrued, taken and pending amounts at an as-of date. Keep the request and the balance together during review so an approved absence can be interpreted against the worker’s available time.
How the work is organized
- Hours. A timesheet groups time entries into a week and carries the submission and approval status.
- Absence. A leave request records requested dates, type, reason, decision status and approver.
- Entitlement. A leave type defines the accrual method and rules; a leave balance tracks the employee’s current amounts.
A submitted timesheet is work awaiting a decision. Its named approver should examine overtime and unusual days before marking it approved. A rejected week returns to the employee for correction; its earlier value should remain distinguishable from an approved week when payroll prepares the period.
What to agree during setup
Agree on the week boundary, overtime category use and the person assigned to approve each worker’s timesheet. Decide how payroll receives approved hours and how corrections to a posted week are handled. Leave types need country and employee-class choices, accrual rate and documentation rules. Set the timing for balance updates and who may correct a balance before staff start requesting time off.
A factory may operate more than one work pattern. Time entries capture hours, while the team’s scheduling system remains the source for shift assignments if shifts are managed elsewhere. During rollout, make that handoff explicit so workers know where to find their actual roster and where to record worked time.
Check the handoff on an actual case
Take a worker with regular hours and one overtime entry in the same week. Compare the detail with total hours, ask the approver to review the week, and confirm the final status. Then enter a leave request that spans two dates. Check the leave type, employee, approver and balance before and after the decision. The outcome should be understandable from the records without relying on a verbal explanation.
Rehearse a rejected timesheet and a cancelled leave request as well. The employee should be able to see why their week or request requires attention, while Payroll Admin can distinguish work that is ready for the pay period from work still awaiting review.
