What you can do
Turn acceptance into assigned work
An accepted offer establishes the candidate, position, base salary and start date to carry into a hire. HR Business Partner can use the resulting employee record as the anchor for an onboarding checklist. The checklist has a type, start date, target completion date, status and progress fields. Its tasks have a category, due date, status, assignee and completion evidence. The team can give IT, payroll, facilities and the manager distinct tasks while keeping the entire hire visible in one checklist.
Benefits are separate from onboarding. A plan defines its type, country, employee class, contribution percentages and effective dates. An enrollment connects an employee to one plan, with coverage tier, effective dates, employee and employer contributions, dependents and status. The responsible team should review plan eligibility and effective dates before marking an enrollment active.
How the work is organized
- Hire container. A checklist connects the employee and start date to a group of assigned tasks.
- Task ownership. Each task carries a category, assignee, due date, status and evidence.
- Coverage. Benefit enrollments connect a worker to a plan, tier, dates and contributions.
What to agree during setup
Choose checklist templates and task owners for the hiring scenarios the company uses. A new employee and a returning employee may need different tasks; the checklist type distinguishes onboarding from rehire, transfer and offboarding. Define which tasks must be complete before the first working day and what evidence the assignee should enter. The team should examine overdue and blocked tasks before treating the checklist as complete.
Review benefit plans by country and employee class. Confirm their effective dates and contribution percentages with the benefits owner, then decide how enrollment changes are authorized. An enrollment event can be a new hire, open enrollment, qualifying life event or termination. Keep the employee’s personal dependent information within the intended permission scope.
Check the handoff on an actual case
Start with an accepted offer for a field employee with a named start date. Create the employee and an onboarding checklist. Assign an IT task and a payroll task to named employees, set due dates and move each task through its actual completion state. Compare the checklist progress with the underlying tasks; a completed header should correspond to completed required work.
Then select a benefit plan that applies to the employee’s country and class. Enter the coverage tier and effective date, and compare employee and employer contributions with the plan. Review the enrollment status after the employee’s decision. If the employee waives coverage, retain that explicit result rather than treating the enrollment as active. Use the same case to rehearse the first payroll period and any applicable benefit deduction.
