What you can do
Review a pay period before marking it complete
Payroll Calendars establish the legal entity, country, currency, frequency and cutoff days for a pay schedule. A Payroll Run then holds the period start and end, pay date, run type, calendar, approval owner and current status. Payroll Admin can distinguish a draft from calculation, pending approval, approved, posted, paid and closed work. The run’s employee count, gross total and net total give the reviewer period-level figures to reconcile.
Each Pay Statement belongs to one employee and one run. It records the period, payment method, currency, gross pay, deductions and net pay. Pay Statement Lines provide the earning, pre-tax, post-tax, tax or employer components with code, quantity, rate, amount and possible tax jurisdiction. The line detail lets the team explain a figure without editing the original employee salary to force a statement total.
How the work is organized
- Calendar and run. Payroll Calendars set the schedule; Payroll Runs track one pay period through review and posting.
- Statement detail. Pay Statements and Pay Statement Lines keep per-employee earnings and deductions connected to the run.
- Benefits and taxes. Benefit Enrollments link employee and plan; Tax Filings link jurisdiction and run.
Benefit Plans identify the plan type, country, employee class, carrier and contribution settings. An enrollment adds the employee, coverage tier, effective dates, contribution amounts and status. Tax Jurisdictions identify the authority and filing frequency, while a Tax Filing carries its period, due date, amount, status and confirmation reference.
What to agree during setup
Choose the payroll calendar for each employee and agree its cutoff. Check currency and entity values against the operating agency. Confirm who authorizes an approved run, how paid status is established, and where payment execution and filing submission occur. Map any bank or authority connection with an explicit source owner. Set who may see employee statements and benefit dependents; a read-only oversight role should still follow the agency’s disclosure policy.
Check the handoff on an actual case
Use a regular pay period that has approved time and current benefit enrollments. Prepare the run against its calendar, inspect the eligible employee count, and compare statement totals with the run’s gross and net figures. Review one employee’s earning and deduction lines, including the linked jurisdiction where tax applies. Have the authorized reviewer approve the run before posting. After the pay execution and filing owner confirms their outcomes, record the appropriate paid or filed state and retain the confirmation reference.
