What you can do
Keep each pay period traceable
Payroll Calendars define the frequency, entity, country, currency and cutoff days for a pay schedule. A Payroll Run names its calendar, period, pay date, run type, totals and status. Payroll staff can distinguish a draft from a run being calculated, awaiting approval, posted, paid or closed.
Pay Statements connect individual employees to a run and period. Each statement has gross pay, deductions, payment method and a status. Pay Statement Lines show earnings, pre-tax and post-tax deductions, taxes and employer amounts with codes and amounts. Tax Filings link a run to a jurisdiction, due date, amount and filing status.
How the work is organized
- Calendar and run. Payroll Manager sets the schedule and opens a period-specific run.
- Statement detail. The run has employee statements, and each statement has coded lines to explain its amounts.
- Filing record. Payroll staff track the relevant jurisdiction, due date and confirmation reference.
The run, statement and filing records answer different questions. A run approved by the payroll manager supports release; a statement tells an employee what was calculated; a filing record tracks tax work. Payment and remittance need their own connected outcomes and references.
What to agree during setup
Set calendars, currencies, entities and tax jurisdictions before opening live periods. Decide how approved time, salary and benefit contribution data enter the calculation. Agree who reviews totals and who can approve a run. Define the connection that executes payments and remittances, and how confirmation references return to the records.
The team should also choose correction procedures. An off-cycle or correction run should be linked to the right calendar and period, with the reason clear to payroll reviewers. Sensitive pay statements need role-scoped access.
Check the handoff on an actual case
A biweekly calendar reaches its cutoff. Payroll Manager opens a regular run for the period and reviews approved timesheets, employee salary and benefit enrollments. Statements are prepared with earning, deduction and tax lines. The manager compares the run gross and net totals with the statement detail, then approves the run. After the connected payment step, payroll records the paid outcome and checks the payment reference in the connected service.
A tax filing is created for the appropriate jurisdiction and due date. Staff record its filing date and confirmation reference after the authority accepts it. Rehearse a statement with an incorrect deduction: correct it before approval or use a documented correction run if the period has already been released.
