What you can do

Review the request against the work period

Employees enter weekly timesheets with dated time entries. Each entry records hours and a category such as regular, overtime, double time or on call. The timesheet carries the employee, week, total hours, approver and review status. Managers can see which submissions still need a decision before payroll uses the approved hours.

Leave requests have a leave type, start and end date, employee, approver and status. Leave Balances hold accrued, taken and pending amounts for each employee and leave type at an as-of date. The balance and request together give the manager context for a date decision. Leave Types store country and employee-class rules, accrual method, rate, carryover cap and documentation requirement.

How the work is organized

  • Time entry. Employee records hours against the day and timesheet; the parent week provides the review unit.
  • Leave request. Employee submits dates and a leave type; the assigned approver records the decision.
  • Balance context. HR maintains the leave type and balance basis that supports the request review.

A submitted timesheet and a submitted leave request are separate decisions. Approved hours can be reviewed for a payroll period, while approved leave explains the employee’s absence. The team should look at both before finalizing a pay cycle.

What to agree during setup

Set leave types for each country and employee class. Agree how balances are loaded and when their as-of dates are refreshed. Define how managers check overlapping requests, documentation and pending amounts. Decide which time categories flow into payroll preparation and who corrects a rejected timesheet. The app records entries and statuses; payroll calculation rules need explicit setup.

Keep the person named as approver current when a manager changes. Decide how corrections are documented after approval, especially if the hours have already been used in a payroll run.

Check the handoff on an actual case

A nurse enters regular and on-call hours for the week. The manager sees the submitted timesheet, checks the dated entries and approves it. The nurse also submits leave from Monday through Wednesday with a paid leave type. The manager reviews the start and end dates alongside the current balance, then approves or rejects the request. HR checks that the recorded balance reflects the team’s agreed accrual and pending treatment.

Rehearse an incomplete timesheet with a missing day and a leave request that overlaps another planned absence. The manager should be able to hold the decision and ask for a correction. Check the approver field and the record status before the payroll team relies on either record.

What your team sees

  • Leave approval inbox — Submitted requests with employee, dates, type and named approver.
  • Timesheets for review — Submitted weeks with employee, hours and approver.
  • My leave requests — An employee’s own requests and their current status.
