What you can do
Employee records in daily work
The employee record carries the position, department, location, manager and payroll calendar used by other people work. Employment history adds an effective date and event type for a hire, transfer, promotion or change of manager. HR Manager can compare the before and after positions or managers without overwriting the earlier event.
A hotel group may have staff who move between departments while keeping the same employee identity. Record the event first, then check the current employee links and any future property staffing assignments. The effective date helps Payroll Specialist decide which calendar and organization apply to a pay period.
How the work is organized
- Person. HR Manager checks the employee identifier, status, entity, position, department and location.
- Event. Employment history records the type, effective date and person who entered the change.
- Downstream check. Property Operations Manager and Payroll Specialist inspect future assignments and pay periods after a transfer.
What to agree during setup
Agree how employee identifiers and entities are assigned. Confirm the position, department, manager and payroll calendar for each hire before a pay cycle begins. Name the HR Manager who records lifecycle events and the person who reviews compensation changes.
Rehearse a transfer whose effective date falls during a pay period. Check the old and new positions on the event, the current employee links and the next property assignment. The employee record should describe the current position; employment history should still explain the earlier one.
Check the handoff on an actual case
A food and beverage employee transfers to rooms. HR Manager records a transfer event with the effective date, previous position and new position, then updates the employee’s department and manager. Property Operations Manager checks any future staffing periods against the new context. Payroll Specialist checks whether the employee’s pay calendar and entity remain correct.
If the transfer date is wrong, correct the event and notify the owners of affected periods. A later reader should be able to identify who recorded the event and which position was intended on each date. Keep the employee identity constant so leave, training and pay history remain attached to the same person.
