What you can do

Payroll in daily work

A payroll calendar defines the pay frequency, entity, country, currency and cutoff. Payroll Specialist prepares a run for a dated period and pay date. Employee statements belong to that run, and their lines describe earnings, deductions and tax amounts. HR Manager can review run totals before the status advances to approval.

A paid statement and a tax filing are separate records. The run links them to a period, but external payment and filing results need confirmation from the systems that perform those actions. Keep the internal approval and any external acknowledgment distinguishable when answering an employee question.

How the work is organized

  • Calendar. Payroll Specialist chooses the correct entity, period and cutoff.
  • Statements. Each employee statement carries currency, pay date and its earning or deduction lines.
  • Run review. HR Manager checks totals and employee context before recording a payroll decision.

What to agree during setup

Choose the calendar and currency for each entity. Agree who checks approved time and leave against the run period. Decide who prepares statements and who has authority to approve the run. Compare gross and net totals with the individual statement lines before marking approval.

Rehearse an employee whose currency differs from the run. Payroll Specialist should find and correct the mismatch before HR Manager acts. Also confirm who records an external payment acknowledgment and who tracks a filing by jurisdiction and due date.

Check the handoff on an actual case

Payroll Specialist prepares a biweekly run and links each statement to its employee. One statement has overtime hours from the previous week. The specialist checks the accepted timesheet and the calendar cutoff, then reviews the earning line and net amount. HR Manager examines the run period, pay date and totals before approval.

If a statement belongs to another employee or currency, correct it before moving the run forward. After approval, the team can track the internal posted and paid statuses and link a filing to the run and tax jurisdiction. A bank or authority response must be checked in its own system.

What your team sees

  • Timesheet approval inbox — Submitted time still awaiting a manager decision.
