What you can do

Make the request visible before the decision

Employees enter leave requests with a leave type, start and end date, reason and supporting documentation when needed. A request has its own status and named approver. Leave balances hold accrued, taken and pending amounts for the employee and leave type as of a recorded date. Admin can check both the request and the balance when discussing a period away from work.

Leave types carry country and employee class, accrual method, rate, carryover cap and documentation rule. Agree those choices for each operating population before employees submit requests. A rule that works for one country should not simply be assumed for another.

How the work is organized

  • Request. The leave request holds the interval, employee, type, approver and decision status.
  • Balance. The leave balance records accrued, taken and pending amounts at its as-of date.
  • Hours. A timesheet covers a work week; time entries describe the dates, hours and categories inside it.

An employee submits a timesheet for review after entering its time entries. The timesheet links the employee and approver and records total hours. Time entries can distinguish regular, overtime, double time and on-call hours, with project or cost-center text where used.

What to agree during setup

Name the human approver for leave and timesheets. Confirm who checks country-specific leave types and when balances are refreshed. Reconcile the request with the dated balance before recording the decision. Review approved leave and time against the payroll period during a rehearsal.

Settle the treatment of rejected, canceled and taken leave. Those are distinct request statuses; the balance conversation should reflect the actual decision and date. For timesheets, decide the cutoff for approved hours to reach payroll and who corrects a rejected submission.

Check the handoff on an actual case

An employee in Canada requests paid leave for dates that cross a payroll cutoff. The employee chooses the leave type and submits the request. The approver checks the interval and the balance as of the relevant date, then records an approval or rejection. Payroll Admin sees the approved leave in the next pay preparation context and can compare it with the employee’s statement.

For overtime, the employee records the dated hours on a weekly timesheet. The approver reviews the entries, records the decision, and Payroll Admin checks that only approved time enters the pay calculation. A submitted timesheet is still a request for review, not approved payable hours.
