What you can do
Run payroll by the right calendar
A payroll calendar identifies the legal entity, country, currency, frequency and cutoff days. Payroll Admin chooses the calendar and period before preparing a run. The run records its type, pay date, status, employee count and gross and net totals. Off-cycle, retro, correction and bonus runs remain distinguishable from a regular period.
The employee record links to a payroll calendar. This matters for a workforce spread across legal entities: the payroll team can check whether a worker belongs in a given run before building their statement. Exchange rates are effective-dated reference records, so reporting across currencies can use a dated basis without changing the statement’s own currency.
How the work is organized
- Run. The payroll run holds the period, pay date, calendar, totals and approval state.
- Statement. Each employee statement links the worker and run and shows gross pay, deductions and net pay.
- Line. Statement lines distinguish earnings, pre-tax and post-tax deductions, tax and employer amounts.
Tax jurisdictions identify country, region, authority and filing frequency. Tax filings link a jurisdiction and payroll run, then carry due date, amount, filing status and confirmation reference. The filing record helps Payroll Admin track what is due and what has been recorded as filed or paid.
What to agree during setup
Confirm each calendar’s entity, country, currency and cutoff. Agree which employees are eligible for each period, how approved overtime and benefit contributions enter the statement, and who reviews the result. Review the run as it moves from draft through calculation and pending approval to approved, posted, paid and closed. A human decision precedes posting.
Choose how bank payment and tax-authority submission will be confirmed. The app has pay and filing statuses and confirmation references; the respective payment and authority systems remain separate connections. Reconcile their acknowledgements against the corresponding run and filing before treating external work as complete.
Check the handoff on an actual case
For a monthly German run, Payroll Admin selects the Kestrel Holdings gmb H calendar and the period dates. The team checks each employee’s country, entity, calendar and currency, then reviews approved leave, time and benefit enrollment inputs. The statement lines show how gross pay, deductions and taxes contribute to the employee result.
The approver reviews the run totals and employee statements while the run is pending approval. After approval, Payroll Admin posts the run and records the posting time. The relevant tax filing is associated with its jurisdiction and due date. Any correction should use a distinct correction run type so the original period remains explainable.
