What you can do

Review what happened on the shift

A Store Shift Entry belongs to a Store Staff Assignment. It can record the shift date, store code, role coverage, scheduled hours, worked hours, absence hours and training completion. It also has an outcome of Pending, Accepted or Rejected. The parent assignment records its own planned and worked hours and its operating status. Store Manager compares the two before marking the shift work complete.

The entry’s source reference and source record ID give the team a place to retain the origin of a shift fact. Evidence Documents can hold an attachment or external reference, with verification by a named person. A Review Decision links to the assignment and identifies its source revision, reviewer, decision and reason. Those records let an independent reviewer examine a specific roster version rather than an undated summary.

How the work is organized

  • Check the entry. Review the scheduled, worked and absence hours with the shift date and role coverage.
  • Keep evidence close. Attach the supporting document or reference to the same assignment that is under review.
  • Assign the next action. A follow-up action has a due date, assignee, status and resolution so an exception has an owner.

What to agree during setup

Define which source provides worked hours and how its identifiers appear in shift entries. Decide who may accept or reject an entry and who may make a separate review decision on a roster revision. The team should set an evidence standard: which differences need a document, which need a written reason and which can be resolved from the shift entry itself. An accepted entry should remain traceable to the assignment it explains.

Agree how a later correction is handled. A changed roster revision should be checked against any earlier Review Decision. A reviewer should not rely on a decision for a different source revision. Follow-up actions should record the resolution on the original assignment, so the operations manager can see whether the exception was closed.

Check the handoff on an actual case

A shift was scheduled for eight hours, but the Store Shift Entry shows six worked hours and two absence hours. Store Manager checks the employee, store code and date against the parent assignment. The manager marks the entry Accepted when the evidence explains the difference, or Rejected when it needs correction. If the issue affects the roster, a follow-up action goes to the responsible person with a due date. Independent Reviewer reads the current assignment revision and the evidence before recording a decision.

What your team sees

  • Shift entries awaiting review — Pending entries show the schedule, actual hours, absence and outcome together.
  • Review decisions pending — Reviewers open pending decisions recorded against an assignment revision.
  • Open follow-up actions — Owners can see unresolved work and its due date.
