What you can do

Put a person against a store shift

Store Staff Assignments holds the employee, shift date, store code, role coverage and scheduled hours for a planned shift. It also points to an organization, an owner and a Retail Locations definition. That gives the store manager an accountable record for the shift rather than a name in a loose calendar. The assignment can move from Planned to Published, Worked, Approved and Closed as the team records what happened.

The HRMS Retail Overview presents coverage, exceptions, evidence and follow-through across authorized stores. The roster views show the underlying assignments. A manager can look at the day’s planned work, then open the assignment to check its owner, hours and status. The retail operations manager can compare stores without losing the individual shift’s source record.

How the work is organized

  • Define the store. Retail Locations links a store definition to its organization and carries an active period and policy reference.
  • Assign the employee. The dated assignment records the person, store code, role coverage and planned hours.
  • Track the revision. The assignment’s revision and status give reviewers a way to discuss the exact version of the roster.

What to agree during setup

Agree how store codes correspond to retail location definitions and employee locations. Decide who owns a shift when responsibility crosses stores, and when a manager may publish an assignment. Confirm which role coverage labels the business uses in the free text field. This matters when two managers call the same position by different names and then compare staffing across stores.

The team should also decide how to handle late changes. A Published assignment with a changed employee or hours needs a fresh review by the relevant manager. An owner should check the current revision before treating an earlier decision as authority for the new plan. Keep the previous state visible in State History where changes are recorded.

Check the handoff on an actual case

A store manager plans a Saturday assignment for an employee with six scheduled hours and a register role. The manager checks that the employee is Active and reviews relevant training before publishing. Retail operations sees the assignment on the roster by status. After the shift, the manager compares worked and absence hours with the entry linked to that assignment. If a coverage change is needed, the manager records a follow-up action against the same assignment so the issue stays with its source.

What your team sees

  • Store roster by status — Planned and published shifts appear with store, employee, role coverage and scheduled hours.
  • My store assignments — The owner sees the assignments that need their attention.
  • Published roster board — Managers move through the operating states without relying on a date column in the board.
