What you can do

Prepare a colleague for store work

Courses define the learning item, category, delivery method, duration and whether it is mandatory. A Course Enrollment connects that course to an employee, with assignment reason, due date, completion date, score and status. Training Records hold a title, competency, provider, completion date, optional expiry and certificate reference. Store managers can use these records while checking whether the planned role coverage is suitable for the employee.

Onboarding Checklists organize work for an employee starting, leaving, transferring or returning. Their type, start date, target completion, status and percent complete give HR a view of the transition. Onboarding Tasks carry the specific title, category, assignee, due date, status and evidence. A checklist can therefore show work in progress while individual tasks are still pending or blocked.

How the work is organized

  • Set the course. HR Manager chooses active course records and records why each employee is enrolled.
  • Record completion. The enrollment and training record provide dated evidence of learning and any expiry.
  • Assign transition work. Checklist tasks identify the person responsible for IT, facilities, payroll, manager or training work.

What to agree during setup

Decide which course codes correspond to the store’s role coverage names. The role coverage field is free text, so the team should write a consistent rule for managers checking training before a shift. Agree which course completions count, how expiring records are renewed and who can update a failed or cancelled enrollment. If point-of-sale training is delivered elsewhere, identify the owner of the completion result and how it reaches Training Records.

For onboarding, agree the template text, task categories and evidence expected for each transition. A percentage helps the coordinator see progress, but the manager should inspect the tasks that matter before the employee’s first assignment. The person who marks a task Completed should provide the supporting evidence where the business requires it.

Check the handoff on an actual case

HR Manager creates an onboarding checklist for a new store employee with a start date. A training task is assigned with a due date, while Course Enrollment identifies the course and its role requirement. The employee completes the course; HR records the completion date and certificate reference in Training Records. Store Manager reviews the training record before publishing the first assignment. If the task remains Blocked, HR sees it in the onboarding work view and resolves its owner before the planned shift.

What your team sees

  • Training due — HR and store managers see enrolled or in-progress learning with its due date.
  • Onboarding work in progress — Coordinators find pending and blocked tasks by assignee and deadline.
