What you can do
Turn dates and hours into reviewed records
An employee can request leave under a defined leave type and date range. The request has its own status and named approver. The balance row records accrued, taken, pending and carryover amounts as of a date. This gives the approver a current reference when deciding whether the requested time is covered. Weekly timesheets hold the employee, week boundaries, total hours and approver; time entries carry the dated hours and category.
How the work is organized
- Policy. A leave type sets the country, employee class, accrual method, rate, documentation requirement and annual limits.
- Request. The employee records dates and reason, submits the request, and the named approver records the decision.
- Hours. The employee groups dated regular, overtime, double-time or on-call hours under a weekly timesheet for review.
What to agree during setup
Confirm which leave types apply to each country and employee class. Agree who updates balances, when accrual is calculated and how pending requests affect available time. The date range should reflect the actual days away. If documentation is required for a leave type, define who sees it and how it is retained. Use the employee’s manager relationship to assign the right approver, then check that the named person on each request is correct.
For time, define the week boundary, cutoff and who is allowed to enter an adjustment. Time entries can include a project and cost center as text, so agree consistent values before using them in payroll review. The category distinguishes overtime and on-call hours from regular hours. Payroll Admin needs an approved weekly record and a clear treatment for any rejected or late entry.
Check the handoff on an actual case
An employee needs paid leave for a week. They select the applicable leave type, enter the start and end dates, and submit the request. The approver compares the balance as of its recorded date and the request’s reason, then marks Approved or Rejected. An approved request can later move to Taken after the absence. If the request is cancelled, keep that outcome visible instead of deleting the record.
In the same pay period, the employee records dated hours. A week with regular and overtime entries remains one timesheet but retains separate categories on the entries. The approver checks the dates, hours and total before approving. Payroll Admin can then review approved time alongside the payroll period and check whether the intended hours reached the statement. A rejected timesheet returns to the employee for correction; its status should still explain why it is absent from payroll review.
