Prepare work with Proto

Use Proto to prepare HRMS configuration and review representative cases.

It can

  • HR Business Partner: Prepare employee and position imports for review, then trace a transfer through employment history.
  • Recruiter: Compare an open requisition with its applications, interviews and draft offer.
  • Payroll Admin: Reconcile a run's period, statements, lines and totals before the approver decides.
  • L&D Admin: Find course enrollments due soon and the training records that follow completion.

Stays with a person

  • The named human owner decides employment, offer, leave and payroll matters; Admin records the named owner’s decision.
  • Proto can prepare a case and point to conflicting references; the person with authority reviews the underlying record and records the decision.
  • Connected bank, tax and learning results need their own confirmation. Review roles and implementation.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the organization

Confirm departments, locations, positions, pay grades and payroll calendars. Assign an owner to each master record.

  2. Load employees

Import current employee IDs, managers, hire dates, statuses and payroll calendar references. Reconcile the register to the source list.

  3. Prepare operating work

Enter representative requisitions, leave requests, timesheets, benefit enrollments and review cycles. Name the approver for each decision and arrange for Admin to record each decision after the approver reviews it.

  4. Rehearse the pay period

Review one payroll run, its statements and lines, and the corresponding leave and time records. Check gross and net totals before the run advances.

  5. Release the cycle

Invite the pilot roles, test their actual access and record who owns corrections and external connections.

FAQ

Questions, answered

Scope, rollout and pricing for Small Business HRMS.

All questions
How do I get started?

Click Get started, then use Proto to configure HRMS for Small Business for your business. Pilot one department, one payroll calendar, current employee records and a representative leave and pay period.

What employee information belongs in the register?

Record the employee ID, name, work email, hire date, employment type, status, department, position, location, manager and payroll calendar. Check access to personal and pay details by role.

How do managers review leave?

A leave request carries its start and end dates, leave type, employee, approver and status. The named approver reviews submitted requests against the balance and operating schedule; Admin records the decision.

Can employees enter weekly time?

Employees can enter timesheets and time entries. A timesheet has a week, total hours, approver and status for review.

How does recruiting connect to employees?

Requisitions connect candidates, applications, interviews and offers. An accepted offer supplies the context for the employee and onboarding records.

How are payroll runs reviewed?

Payroll Admin prepares the run for a calendar and period, checks linked statements and lines, and sends a pending run to its named approver before posting.

Can we track benefits?

Benefit plans and employee enrollments carry coverage tier, contribution amounts, effective dates and enrollment status.

What supports performance and learning?

Performance cycles connect reviews and goals. Courses connect enrollments and completed training records with expiration dates.

Can we migrate from spreadsheets?

Prepare stable employee and transaction IDs, organization references, current balances and a known pay period. Reconcile an imported sample before extending the migration.

What does it cost?

Review the pricing page for current platform and implementation terms. Estimate imports, integrations and agent work from your expected usage.
