What you can do
Time before pay
Each timesheet belongs to an employee and covers a week start and end. Time entries carry the day, hours, category, project and cost center. The weekly header keeps the approver and total hours beside its status. Employee can enter time; the named approver reviews the Submitted sheet, and Admin records Approved or Rejected. Payroll Admin reads the approved time during pay preparation. The weekly boundary and overtime category should be settled before the first payroll calendar is used.
Leave requests connect an employee, leave type and approver to a dated absence. The request has a start date, end date, reason, documentation, day value and status. Leave balances hold accrued, taken, pending and carryover amounts as of a date. Admin can compare a Submitted request with the relevant balance and leave type before recording the named approver’s decision. An Approved request can later be marked Taken; a rejected or cancelled one should be distinguishable in the list.
How the work is organized
- Capture. Time entries live under a weekly timesheet and identify regular or premium hours.
- Request. A leave request identifies the employee, date span, leave type and decision owner.
- Balance. The leave balance keeps each employee and leave type’s position at an as-of date.
What to agree during setup
Define the start of the workweek and how late corrections are handled. Agree which hours belong under Regular, Overtime, double time or on-call. Projects and cost centers are text on each time entry, so settle their naming convention. Map each employee to a payroll calendar and choose the cutoff before a run is prepared. For leave, configure country and employee class on each leave type, then confirm accrual method, rate, carryover cap and documentation rule. Agree with each named approver what to review before a time or leave decision.
For a worker with a five-day absence, confirm the dates and leave type on the request. Check the balance’s accrued, taken and pending figures and its as-of date. The approver decides whether to approve or reject the request. For the same worker’s weekly sheet, inspect each day’s hours before approving the header. A payroll administrator should be able to identify the approved time and leave record for that period.
Check the handoff on an actual case
Use a week that crosses a payroll cutoff. Have an Employee enter regular and overtime hours, submit the timesheet and have its named approver review the entries. Check the resulting status and approval date. Then submit a leave request that overlaps the week. Inspect the leave balance and documentation, record the decision, and check the approved absence on the leave calendar. Finally, ask Payroll Admin which approved inputs belong to the selected run period and how a rejected sheet is kept out of its review.
