What you can do
Keep one employee record at the center
The Employees page gives HR Business Partner a department distribution, a live register and a detail for one worker. The employee record connects a person to their department, position, location, manager, pay grade and payroll calendar. HR Business Partner maintains those links so a change of manager or position can be understood alongside the worker’s history. CHRO / VP People sees the same population for oversight.
A position is a seat in the organization. Its job title, department, location, pay grade and reporting position help HR distinguish the structure from the person occupying it. For a transfer, HR Business Partner can retain the earlier position and manager in employment history while changing the employee’s current assignment. The effective date matters when payroll or a manager reviews the change later.
How the work is organized
- Workforce. Employees hold current identity, status, country, entity and assignment links.
- Organization. Departments, Positions, job titles, Locations and pay grades describe the structure around each worker.
- History and coverage. employment history records lifecycle events; benefit enrollments links a worker to benefit plans with coverage dates and contribution amounts.
What to agree during setup
Agree who can change compensation, who records a transfer and who checks the resulting assignment. Define the legal entity, country, currency and payroll calendar choices before moving worker records into pay. Keep benefit plan country and employee class in view when selecting a plan. Confirm which person is responsible for recording an effective date and a reason for an employment change.
The configured Employee role can enter self-service work and view selected personal records. HR Business Partner manages employee and history records. Payroll Admin sees employee and benefit information while preparing pay. CHRO / VP People has read-only oversight; Admin has full record control. Use these boundaries during the first import and test them with a real employee case.
Check the handoff on an actual case
Suppose a worker moves from one department to another on the first of the month. HR Business Partner checks the destination position, manager and pay grade, then records a Transfer event with the effective date and the prior and new positions. The current Employees row points to the new assignment. Payroll Admin checks that the worker still has the intended payroll calendar and asks HR Business Partner to confirm any compensation change. A later review can compare the current record with the historical event rather than guessing from a changed department alone.
For a new hire, confirm the employee ID, hire date, entity, country, currency, location and payroll calendar before a pay statement is prepared. When benefits begin, the benefit enrollments row should point to the chosen plan and carry its coverage tier and effective date. A pending enrollment is a different state from active coverage; the team should review that distinction before relying on a benefits deduction.
