What you can do

Put the dates beside the decision

Employee enters a leave requests record with a leave type, start date, end date and reason. The request has a named approver and a status that separates draft, submitted, approved, rejected, cancelled and taken work. Leave balances keeps the employee’s accrued, taken, pending and available figures by leave type and date. Payroll Admin can inspect leave requests and timesheets; Admin can inspect balances and decisions.

Weekly time uses Timesheets as the header and time entries for each dated line. A line can distinguish regular, overtime, double time or on-call hours and may carry a project or cost center. A submitted timesheet has a recorded approver and total hours. Keeping the lines attached to the header lets payroll examine the hours behind a weekly total.

How the work is organized

  • Leave policy data. leave types stores category, country, employee class and accrual settings.
  • Employee request. leave requests captures the dated request and decision; leave balances shows the current dated balance.
  • Worked time. Timesheets and time entries link a weekly submission to its daily hours.

What to agree during setup

Define leave types for the countries and employee classes you employ. Agree when a balance is refreshed, how pending requests affect a manager’s review, and who may approve a request. Set the payroll cutoff for weekly time and decide how late corrections are handled. An employee’s calendar and payroll period should be checked before time is included in a run.

Employee has record-entry access to leave and time. The approver reference on each request or timesheet identifies the person expected to make the decision. Payroll Admin has visibility into leave and timesheets; Admin can manage the underlying records. Test these access paths with a worker, an approver and a payroll operator.

Check the handoff on an actual case

Suppose an employee requests three working days away during a pay period. Employee enters the leave type and exact start and end dates, then submits the request. Admin checks the dated balance and shares the request with its named approver. After that person decides, Admin records Approved or Rejected. Payroll Admin uses the leave schedule to see accepted dates. Payroll Admin checks approved leave alongside the worker’s payroll calendar before calculating pay.

In the same week, the employee enters daily regular hours and one overtime line. The weekly timesheet total should reconcile to its entries. Admin checks the submitted header and its lines with the named approver before recording the decision. Payroll Admin sees the approved weekly total; Admin checks the overtime line and gives payroll the category needed for the pay statement. If a timesheet is rejected, the employee has a clear record to correct and resubmit.

What your team sees

  • My leave requests — The employee’s own dated requests and their decisions.
  • Leave approval inbox — Submitted requests for Admin to check with each named approver.
  • Leave schedule — Approved and taken dates for the HR and payroll handoff.
