What you can do
Keep the work anchored to a person
Employee starts a leave request with a leave type and start and end dates. The request status distinguishes a draft from submitted, approved, rejected, cancelled or taken leave. The linked balance records accrued, taken and pending amounts for that employee and leave type as of a date. HR and the named approver can inspect the request before the decision is recorded.
Weekly time begins with a timesheet for the employee and week. Time entries carry the dated hours and category. The timesheet status distinguishes draft, submitted, approved, rejected and posted work. Payroll Admin reads the submitted time and its component entries as an upstream input for the pay cycle.
How the work is organized
- Check the source. Employee records the leave type, dates and approver on a request. The named approver checks the employee balance for that leave type before deciding.
- Record the decision. For weekly time, Employee attaches dated entries to a timesheet. The named approver checks the hours and week; Payroll Admin reads approved time for the pay period.
- Keep the trail. After a leave decision, compare pending and taken amounts with the request. After a rejected timesheet, correct the dated entries before the approver reviews it again.
What to agree during setup
Agree the leave types that apply to each country and employee class, the accrual method and the documentation rule. Check each employee’s approver against their manager and decide who resolves a blank or outdated approver. For time, agree when the week closes, how rejected entries return for correction and which cost center or project labels the team will use.
Submit a leave request within the recorded balance and have its named approver decide it. Check the balance after the decision. Then add regular and overtime entries to a week and compare their sum with the timesheet total.
Check the handoff on an actual case
Use an employee who requests two days of paid leave and has a current balance. Check the requested dates, leave type and pending amount. Submit the request, then have the approver make a decision. Inspect the balance after the decision and make sure the same dates do not appear as both pending and taken. For a rejected request, confirm the pending amount is released. Review one timesheet for the same employee and match its total hours to the dated entries.
Have the next person find the same employee and period, explain the current status, and identify the source detail behind it. Correct a mismatched reference before the case moves forward.
