What you can do
Payroll in daily work
Payroll Admin opens a scheduled period, checks eligible employees and reviews the statements linked to the run. Earning, deduction and tax lines explain the amount on each statement. The designated approver checks the run before posting. Filing records stay linked to the run and tax jurisdiction for later review.
How the work is organized
- Source record. The calendar defines entity, country, currency, frequency and cutoff. Select the correct period and run type before calculation.
- Decision. The run carries the period, pay date, approval state and approver. Statements link employees to that run.
- Handoff. Statement lines separate earnings, pretax and posttax deductions and tax amounts. Tax filings link the resulting obligation to a jurisdiction and run.
What to agree during setup
Agree the pay calendar owner and the person authorized to approve a run. Confirm the cutoff for ordinary periods and when an off-cycle run is allowed. Map benefit and tax inputs to the relevant employees and jurisdictions. Establish a separate review of statement line categories and source amounts. Compare each statement with a known payroll period and calculate the expected net amount from the underlying lines.
Check the handoff on an actual case
For a regular pay period, Payroll Admin confirms the calendar, employee population and dates before preparing the run. Inspect an employee with ordinary pay and another with approved overtime or a benefit deduction. Compare the statement lines with their source records and calculate an expected net amount independently. The approver reviews the run and the sample statements before allowing posting. If a statement does not reconcile, leave the run awaiting correction; do not move it to paid. After posting, inspect the posting date and the filing records. Payment through a bank is a separate handoff, so retain the run and statement references for reconciliation.
Reconcile statement amounts against the source lines before the run is approved. Compare line categories and independently compute expected deductions rather than accepting the summary alone. Confirm that a correction run does not overwrite the original period’s statement history. For tax filing work, check the jurisdiction and due date on the filing record before treating a filed state as paid. The run’s approval, posting and payment states represent separate decisions and external handoffs.
