Prepare decisions with Proto

Use Proto to prepare HR work and bring decisions back to the right owner.

It can

  • Recruiter: List open requisitions with candidates still at the interview stage and prepare a handoff for the Hiring Manager.
  • HR Business Partner: Check an employee transfer against the current position, manager and dated history event.
  • Payroll Admin: Find submitted time and leave records that need a decision before a pay run is reviewed.
  • L&D Admin: Find training records marked expiring soon and identify the employee and course for follow-up.

Stays with a person

  • A person decides whether to approve a requisition, offer, leave request or pay run.
  • Proto can gather the linked records and point out inconsistencies, but the authorized owner reviews the evidence and records the outcome.
  • External payment and filing confirmations must come from the respective systems.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Map the organization

Agree entities, countries, departments, locations, positions, pay grades and payroll calendars. Decide which people can edit each record.

  2. Bring in employee records

Import a small group with managers, positions and hire dates. Compare the register with dated employment history.

  3. Rehearse hiring

Use a vacant position, a requisition, an application, an interview and an approved offer. Carry the accepted outcome into an employee checklist.

  4. Run time and pay

Submit leave and weekly hours, obtain the named decisions, then reconcile a payroll run and employee statements for one period.

  5. Add development work

Open a review cycle and assign a course. Check review release, training completion and expiration monitoring.

FAQ

Questions, answered

Scope, rollout and pricing for HRMS with Grievance Management.

All questions
How do I get started?

Click Get started, then use Proto to configure employee, hiring and payroll records for your business. Pilot one department, one hiring case and one payroll calendar before adding more employees.

Where do employee details live?

The employee register holds the current position, department, manager, location, entity and payroll calendar. Employment history records dated changes.

How do we connect a candidate to a hire?

Link the application to a candidate and open requisition. Record interviews and an approved offer, then connect the accepted outcome to the employee and onboarding checklist.

Who reviews an offer?

The hiring team checks the position and pay grade, and Admin reviews proposed pay against the position's pay grade before the offer is sent.

Can employees submit their own leave and time?

Employees can enter leave requests, weekly timesheets and daily time entries. The named approver decides submitted work before payroll uses it.

How do we see available leave?

A leave balance belongs to an employee and leave type. It shows accrued, taken, pending and available amounts as of a date.

What makes a pay run ready for review?

Check the calendar, period, eligible employees, approved time and leave, employee statements, and gross and net totals before the run moves to approval.

How are reviews organized?

A performance cycle sets the dates. Goals and reviews link employees and reviewers to that cycle, with separate states for submission, calibration, release and acknowledgement.

Where do completed courses appear?

Course enrollments track assignments and progress. Training records retain completed learning, certificates and expiration dates.

What should we connect externally?

Plan the handoffs for offer signatures, interview calendars, banking, statutory filing and learning providers as needed for your operation.
