What you can do
Bring a pay period to a reviewed close
Payroll calendars identify the entity, country, currency, frequency and cutoff used for a run. Payroll Admin creates a run with a period, pay date and type. A run moves through draft, calculating, pending approval, approved, posted, paid and closed states. The period and calendar provide the frame for checking which employees are eligible and which approved hours and leave fall inside it.
Each pay statement links an employee to the run and records period dates, currency, payment method, gross pay, total deductions and net pay. Statement lines separate earnings, pre tax deductions, post tax deductions, taxes and employer amounts. Tax jurisdictions connect the relevant payroll lines and filings to an authority. A filing records period, type, due date, amount and state, keeping the submission reference when one is available.
How the work is organized
- Set the calendar. Assign employees to a named payroll calendar with an agreed entity, country, currency and cutoff.
- Prepare the run. Use the run’s period and type to check employee eligibility, approved time and leave, and statement totals.
- Decide and record. Review the run before approval, then record posting, payment and filing outcomes when each occurs.
What to agree during setup
Agree who prepares a run, who checks gross and net totals, and who records approval. Payroll Admin has record access to runs and statements; Admin can control the final decision and access settings. Decide which run types are used for regular work and which are reserved for corrections. Map statement line codes to the team’s pay categories and decide how tax authorities and filing periods are maintained.
Bank transfer and electronic tax submission need their own connections. Keep a local paid state aligned with the actual payment event, and store a filing confirmation reference only after submission. During the pilot, use one calendar and a representative pay period with an employee who has approved regular time, overtime and leave.
Check the handoff on an actual case
Select a payroll calendar and period, then identify the employees assigned to it. Compare the time and leave records for one employee with their statement lines. Check that gross pay, deductions and net pay reconcile at statement and run level. Present the run for approval with the pay date and totals visible. After the decision, record posting and payment separately. For a related tax filing, confirm the jurisdiction, due date and amount, then record its filed state and confirmation reference when received.
What your team sees
- Payroll approval queue — Runs awaiting a decision with dates and gross and net totals.
- Statements by run — Employee pay statements in calculated, approved and paid states.
- Timesheets awaiting decision — Submitted hours that need resolution before payroll preparation.
Follow the work through
