What you can do
Follow the decision on the same case
The application carries the candidate through Applied, Screen, phone interview, Onsite and Offer stages. Interviews adds the scheduled date, interviewer, interview type, status, rating, recommendation and feedback for each conversation. Recruiter can read the recommendation in the context of the exact application. Hiring Manager has read access to interviews and applications, so the hiring decision can be discussed against the recorded case.
Offers holds the proposed position, base salary, currency, start date and optional bonus or equity amount. Its status distinguishes a draft from an offer awaiting approval, one approved to send, one sent to the candidate and a recorded acceptance or rejection. The approved-by employee reference names the person associated with the decision. A signed date and expiration date give the team a place to track the response window.
How the work is organized
- Interview. Every interview points to an application and names the interviewer and scheduled time.
- Recommendation. Rating, recommendation and feedback explain the reviewer’s hiring input.
- Offer. The record connects the application and candidate to a position and the proposed pay terms.
What to agree during setup
Choose who may prepare an offer, who approves the offer terms and who records that it was sent. Recruiter manages the Offers record. The approver named on the record should be the person who actually reviewed the terms. HR Business Partner maintains the position and pay context; CHRO / VP People can review the resulting records. Agree how the team checks the position’s pay grade against a proposed base salary, and how an exception reaches the right decision maker.
The interview schedule needs a shared practice for rescheduled and cancelled meetings. Record a completed interview with a recommendation before relying on it to explain a stage move. Rejection requires a reason on the application when the candidate is rejected. Withdrawn and Rejected are different outcomes, and both should be preserved accurately for later reporting.
Check the handoff on an actual case
A referred candidate moves from Screen to phone interview for an open requisition. Recruiter records the scheduled interview and the interviewer. After the meeting, Recruiter records the interviewer’s feedback and recommendation, then updates the case to the next stage. At Offer, Recruiter prepares an offer linked to the candidate, application and position. The approving person checks the salary and start date before the offer is marked Approved and later Sent. The candidate’s acceptance is then recorded on the same offer.
Rehearse a no show interview and an offer that expires without acceptance. The team should find the current status immediately, understand the last recommendation and know which person owns the next contact. A signed date belongs with the accepted offer, while the application records the pipeline outcome.
