What you can do
Start with the right operating party
Organizations hold the operating name, code, active state, time zone and currency. Counterparties identify carriers, brokers and delegated-authority partners in that organization. The contact, address and eligibility note help staff choose the intended partner when preparing an instruction and check the carrier named on a handoff. An inactive partner remains identifiable in earlier records while new work should use an eligible one.
Financial accounts have their own account code, provider, external account identifier and currency. Each account belongs to a counterparty. That relationship matters when an analyst links debit and credit account lines to an instruction. The analyst checks the named carrier on a handoff against the partner directory as part of the case review. A similar account code under another provider is a different destination; checking the owner and external account identifier avoids an accidental cross-party instruction.
How the work is organized
- Organization scope. Operating entities set the context for users, instructions and handoffs.
- Partner directory. Counterparties retain contact and eligibility information for selection.
- Account scope. Financial accounts identify the provider and owner behind each debit or credit line.
What to agree during setup
App Administrator and the operations team agree how organizations and counterparties are named, how duplicate partner codes are resolved and who may change an eligibility note. Confirm the provider account identifiers and currency with the financial provider before importing balances. Decide when an account becomes inactive, and make sure the instruction team knows which account remains valid for historical review. Team members need their organization and role assignment checked before receiving access.
Check the handoff on an actual case
A broker and a carrier share a similar trading name. The administrator records distinct counterparty codes and eligibility notes. The carrier owns an account at a named provider, with its external account identifier and currency. When an analyst prepares an instruction, the linked account line points to that exact account. The reviewer can check the owner and provider before authorizing the movement. Later, an account snapshot arrives from the provider. It uses the same account reference, so the finance team can reconcile the correct balance instead of combining records from the broker and carrier.
What your team sees
- Active financial accounts — Provider accounts show their owner, currency and external identifier before an analyst links them to an instruction.
- Provider submissions — Submitted instructions retain their external provider reference.
Follow the work through
Instruction review and submission shows how account scope reaches review. Provider reconciliation uses the same accounts for comparison.
