What you can do
Keep an instruction tied to its owner
The Operations Analyst starts an instruction with a record number, subject, organization, counterparty, requested date and amount. An assigned owner can follow it through review and provider submission. The status separates a draft from work in review, authorized work, a submitted instruction and a confirmed result. A change in the recorded revision matters because a decision on an earlier version should not authorize a changed amount or destination.
The linked account lines describe the debit and credit sides. Before review, the analyst checks that both sides balance and that each account belongs to the intended counterparty. The independent reviewer needs this scope alongside the amount and supporting documents. The analyst can explain the proposed financial effect without treating an account label as proof of available funds.
How the work is organized
- Preparation. The analyst records the instruction, owner, counterparty and account lines.
- Decision. The Independent Finance Reviewer decides against the submitted revision and records a reason.
- Outcome. The team retains the provider identifier and verified evidence before marking a result confirmed.
What to agree during setup
Agree who may prepare an instruction for each organization, who has independent review authority and which attachments a reviewer needs. Confirm which provider owns execution and which external identifier comes back from it. Define how the team handles a rejected instruction, a changed revision, and a provider response that arrives after the expected value date. These choices give staff a clear path when a request cannot proceed immediately.
Check the handoff on an actual case
An analyst prepares a payment instruction for a carrier counterparty and links its debit and credit accounts. The first account line is entered with the wrong amount. The reviewer returns the request with a reason, and the analyst corrects the line and sends a new revision. The reviewer approves that revision. The analyst sends the authorized instruction to the provider and records its identifier. A provider confirmation arrives with an event reference and date. The team checks it against the instruction before marking the instruction confirmed. The earlier review remains available, so the correction is visible rather than hidden by the final status.
What your team sees
- My instructions — Assigned requests with their current status, amount and counterparty.
- Instructions awaiting review — Submitted instruction context for the independent reviewer.
- Provider submissions — Sent requests waiting for a verified external outcome.
Follow the work through
Instruction review and submission follows the change from draft to provider result. Reconciliation follows the external outcome.
