What you can do

Understand which stock can support the request

Available Lots identifies stock marked Available through lot code, item and storage location. Quantity on hand describes its recorded balance. Review other lot records when investigating stock marked Quarantined, Expired, Consumed or Blocked. Check the received and expiry dates when reviewing the lot’s eligibility. The clerk needs this information before attempting a reservation; a positive quantity does not explain whether the selected lot is eligible.

Operations Overview presents on-hand and available quantity with review work and failed receipts. Use it to find the case needing attention, then inspect the lot and its held reservations. The reservation workflow limits a new claim to free eligible inventory, calculated from lot quantity less active Held quantities. Review that current balance before choosing the next action.

How the work is organized

Inventory Clerk maintains stock items and stock lots, checking the SKU and base unit before preparing operational demand. The location record identifies its organization and code, with the active state and eligibility note available for review. The lot references its actual storage location; the request separately identifies location and counterparty location. Confirm that these references describe the intended physical case rather than assuming similar display names are interchangeable.

  • Item identity. Check the SKU and whether its tracking mode is None, Lot or Serial. Agree how the clerk identifies the stock in the pilot before importing open demand.
  • Condition review. Check the lot’s actual status and expiry evidence before requesting stock, and rehearse the workflow’s rejection of ineligible cases.
  • Available quantity. Inspect Held reservations for the selected lot so the clerk does not promise stock that another request already holds.

What to agree during setup

Choose the item and location set for the first cycle. Reconcile opening quantity on hand to physical evidence before enabling stock actions. Keep opening balances separate from movements that will execute after the cutoff, otherwise the same receipt could be counted in both an imported balance and a new posted effect.

Define how the team reviews expiry, item eligibility and location eligibility. Rehearse a lot that may be used and a lot whose condition requires follow-up. Inventory Supervisor should explain the operational outcome to the clerk, with the reason retained in the case. Keep held quantities visible while deciding how to resolve an exception.

Check the handoff on an actual case

A lot shows 60 units and a Held reservation for 25. Inventory Clerk requests another 40. The free quantity is 35, so the reservation must fail with a shortfall receipt instead of creating a hold for all 40. A decision that approved the request does not expand the lot balance.

The supervisor inspects the failed result and decides whether to correct the authorized scope or wait for a separately evidenced receipt. If a receipt adds stock through the posting workflow, inspect the new lot balance, existing holds and earlier failed result before choosing the next reservation action. Replaying the earlier successful receive operation must not add that receipt quantity a second time. Preserve each operation’s own identity and result.

What your team sees

  • Available Lots — Lot quantity, item, storage location and condition in the main stock view.
  • Active Stock Items — Active SKU and base-unit context for interpreting the request.
  • Held Reservations — The quantities already held against a selected lot.

Follow the work through

Use eligible-stock reservation for the quantity check and stock execution for posted effects. Review reference order in the data model.
