What you can do

Receiving and layers in practice

Accepted quantity creates owned stock and its cost lineage. Warehouse Operator records the actual arrival, while a separate acceptance records which portion is taken into inventory. This distinction matters when a supplier sends less than ordered or a delivered lot is partly rejected. The receipt remains evidence of what arrived; acceptance establishes the bounded inventory effect.

How the work is organized

  • Arrival. Link the supplier receipt to its purchase order, entity and warehouse.
  • Acceptance. Confirm a quantity from the actual receipt line with supporting evidence.
  • Layer. Follow the resulting stock event to position, movement and remaining source value.

What to agree during setup

Agree who can confirm a tranche, how rejected goods are recorded and which cost evidence is required. Establish the exchange rate and standard cost used on the relevant receipt line before posting. Purchasing Manager owns the supplier commitment; Warehouse Operator records the physical facts; Accountant checks value and receipt accruals. A second acceptance must respect the remaining quantity of the original arrival.

Check the handoff on an actual case

For a receipt that arrives in two usable lots, record the actual arrival once and accept the first eligible tranche. Inspect the stock event, its signed movement and the new layer. Accept the second tranche only after its own review. A rejected part stays separate from accepted owned stock. Repeat the same economic operation key and confirm that it does not create a second value effect.

What your team sees

  • Receipts awaiting review — Find arrived goods whose acceptance still needs a decision.
  • Open cost layers — Trace accepted quantity into remaining carrying value.

The handoff between purchasing and receiving is a value control. Purchasing Manager can show the approved commitment, but Warehouse Operator must show what arrived. The reviewer needs the receipt line’s accepted and pending quantities at the moment of confirmation. Accountant can then compare the accepted commercial value with the stock movement and receipt accrual. A later supplier bill uses the accepted receipt as matching evidence. That bill is a separate financial document; its preparation should not create another stock layer for the same accepted goods.

A short delivery is another useful rehearsal. Purchasing Manager compares the ordered quantity with the receipt line, while Warehouse Operator records only what arrived. Warehouse Manager confirms the supported accepted portion and keeps the rejected or pending amount distinct. Accountant checks the cost and currency evidence on that tranche before reconciling the resulting stock value. If the supplier sends the remainder later, that new arrival needs its own evidence; the earlier acceptance and layer remain tied to the first arrival.

Follow the work through

Follow the related process and check the data model when mapping your source records. During rehearsal, compare the source document, the decision and the resulting value effect. Keep the accountable person visible at each handoff.

What it keeps track of

Data model
Purchase orders
Immutable approved supplier commitments; cumulative amendments cannot bypass authority.
Goods receipts
Immutable actual arrivals and separately accepted quantities.
Goods receipt lines
Receipt history does not change as accepted inventory moves or is consumed.
Receipt acceptances
Independent bounded disposition tranches against one immutable actual arrival.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Stock layers
Remaining quantity/carrying value with receipt/output/return lineage.
Inventory positions
Current owned stock by complete identity and custody state; provenance is not a second balance.
