What you can do
Keep the location and its custodian visible
Cold rooms, dry stores and preparation areas need recognizable location codes. Each storage location records its name, code, contact name, address, eligibility note and organization. The active setting identifies whether a location belongs in current work. The location reference connects stock lots and requests to a place the kitchen team can identify during a physical handoff.
Kitchen containers record container code, quantity, custodian, item and location for a tote or other handling unit. A container can be Available, In Transit, Stored, In Prep, Held or Damaged. These descriptions support custody work; changing a container label alone does not establish a signed inventory movement.
How the work is organized
- Location eligibility. Inventory Clerk maintains storage locations and checks the recorded eligibility note before choosing a request’s location or counterparty location. Agree the operating meaning of the active setting with Inventory Supervisor.
- Container custody. Kitchen containers keep the item, quantity and named custodian beside the handling unit’s location. The team records physical facts when goods leave storage or reach preparation.
- Lot position. Stock lots’ storage location describes the inventory position used by stock actions. Confirm the selected lot and container describe the intended ingredient, and check the physical container code during the handoff.
What to agree during setup
Choose location codes that distinguish receiving, cold storage and preparation without relying on an employee’s informal name for a shelf. Agree who updates custodian and how a handoff is evidenced when the container becomes In Transit or In Prep. Use the custodian name to identify the physical handoff; configure the person’s application access through their team member and user records.
Inventory Supervisor should explain how Held and Damaged containers affect the physical procedure. Lot eligibility still needs the workflow’s own checks. Agree the physical checks that receiving staff must complete before moving ingredients into storage. Retain the inspection evidence with the stock request so Inventory Supervisor can review the actual case.
Check the handoff on an actual case
Rehearse a tote holding 12 kg of rice being handed from receiving staff to the cold-room custodian. Inventory Clerk identifies container code, item, quantity, location and custodian before preparing the stock request record. Compare the request’s location and counterparty location with the actual source and intended destination, and retain the inspected quantity for review.
After Inventory Supervisor approves the request, run the stock action and inspect the posted movement and operation receipt. Compare the movement’s signed quantity with the change to the lot it names. Inventory Clerk also checks the physical stock at the sending and receiving locations and updates container custody. Inventory Supervisor resolves any difference between that handoff and the recorded lot position before accepting completion.
Then repeat the same action key. The repeated operation should not produce another stock effect. If a location or physical handoff was mistaken, route the correction through authorized scope correction or compensating movement and leave the earlier evidence available.
What your team sees
