What you can do

Start with the instruction the bank must act on

The Operations Analyst opens an instruction for the right organization and counterparty, gives it a record number and subject, and records the requested date and amount in US dollars. The owner remains visible throughout review. A revision identifies the version that colleagues are asked to approve. For a treasury team supporting several organizations, choosing the organization before preparing the instruction keeps later evidence and review within the right operating scope.

A draft is working material. When the analyst sends it for review, the team should be able to read the same amount, counterparty and account scope that the reviewer will decide on. If those details change, the revision matters. The decision belongs to a frozen version, not to whatever values happen to be on the instruction later.

How the work is organized

  • Instruction. The parent record carries the subject, requested amount, status, owner and counterparty.
  • Account scope. Debit and credit lines connect the instruction to the financial accounts affected by the proposed movement.
  • Decision trail. Attachments, review decisions, provider evidence and operation receipts remain linked to the instruction.

A worked case begins with a requested transfer between two provider-held accounts. The analyst records a debit line and a credit line for the intended amount. The reviewer can inspect those lines alongside the instruction and any supporting attachment. Once the instruction is authorized, the provider identifier and later evidence remain on the same chain of records. A submitted instruction still needs an actual confirmation or settlement record before the team treats it as confirmed.

What to agree during setup

Decide which organization owns each instruction and which counterparties and financial accounts its analysts may use. Agree on who prepares the account lines, which supporting documents reviewers expect, and how the team handles an amount or account change after review begins. The App Administrator maintains membership and organization setup; that role does not stand in for an Independent Finance Reviewer.

Agree how the provider returns its instruction identifier and evidence. Record those references on the instruction and its evidence rather than relying on a verbal update. The reviewer should know whether a status represents an internal decision, a sent request, or a confirmed external effect.

Check the handoff on an actual case

Rehearse one draft whose debit and credit lines agree with its requested amount. Move it to review and have a different person inspect the revision and attachments. Then change the amount and confirm that the earlier decision cannot authorize the changed version. Rehearse a rejected decision and a provider response that remains pending. These cases reveal whether the owner, reviewer and provider record tell the same story.

What your team sees

  • Instruction workboard — Follow drafts, reviewed items and provider submissions by owner and counterparty.
  • My bank instructions — Find the analyst’s assigned instruction work.
  • Authorized instructions — See which decisions are ready for the provider handoff.

Follow the work through

Follow instruction review and provider confirmation for the handoffs that change the instruction’s meaning.
