What you can do
The work behind the record
Track asset service from assignment through outcome and next due date. A work order records the asset, assigned person, work type, due date and progress state. Preventive, Corrective and Inspection are distinct work types, so a team can tell planned care from a fault response. Service history then records the completed service outcome and next due date against the asset and work order.
How the work is organized
- Name the asset. The coordinator opens work against a specific instrument and records its work type and due date.
- Assign the person. The assignee receives a work order with a status the coordinator can review.
- Retain the result. The team keeps a separate service history entry with completion, outcome and next due date.
The work order is the live assignment; service history is the record of completed service. A work log, despite its name, links to an equipment booking in this app. The coordinator should follow the asset and work order when tracing maintenance.
What to agree during setup
Agree who can request work, who may change a work order to Approved and how an instrument moves into Maintenance or out of service. The spare part register carries quantity on hand and a reorder point. Use the spare part register for stock review; keep the maintenance outcome on the work order and service history. Write down the decision owner and rehearse a correction on a linked case. Check who can update the record after the next shift has acted on it.
Check the handoff on an actual case
Start with a fault on a named instrument. Assign corrective work and a due date to a technician. Ask the assigned Licensed Clinician to update work progress, then check the separate service history outcome. Check that the asset, original request and next service due date remain legible. If the instrument cannot be used, the coordinator should review upcoming bookings while its status reflects that condition. Have a second person open the linked records and explain the next decision. If the source changes, the Clinical Coordinator checks affected reservations, service work or charges before the next shift acts.
