What you can do
The work behind the record
Keep the actual use interval beside the booking that authorized it. A session records what happened during equipment time. It links to a booking and carries a session type, start, end, rate and notes. That link matters when the planned booking interval differs from actual use. The team can examine both records before deciding whether a charge reflects actual use or the agreed reservation policy.
How the work is organized
- Link the booking. The person recording use selects the reservation the session describes.
- Record actual time. The session keeps its own start, end, rate and notes beside the planned booking dates.
- Keep observations attributable. A reading links to the booking and the person who recorded it.
When a researcher arrives late, the booking still shows the reserved window while the session shows the actual interval. The reviewer can inspect a related reading by booking and recorder. A work log also links to a booking, despite its work order field name.
What to agree during setup
Set the meaning of the session statuses and agree who enters the actual end. The session status uses specimen terms such as Ordered and Tested. Agree how the team will interpret those labels for equipment use before entering live sessions. Decide whether the rate is entered per session and how a correction is documented in notes. Write down the decision owner and rehearse a correction on a linked case. Check who can update the record after the next shift has acted on it.
Check the handoff on an actual case
For a planned two-hour reservation, record the actual start and end after the equipment is used. Have the reviewer compare the booking and session intervals, the rate and the notes. Add an instrument reading to the same booking if the work produces a measured value. Confirm its recorder and observation time are visible beside the related work before a charge is reviewed. Have a second person open the linked records and explain the next decision. If the source changes, the Clinical Coordinator checks affected reservations, service work or charges before the next shift acts.
