What you can do
Know who and what can take the load
The driver roster records a code, name, active state, eligibility date and external authority reference. The vehicle register records a code, equipment class, capacity, active state, readiness and external fleet identifier. These records give Dispatcher a starting point for assignment checks. A vehicle marked Ready still needs a suitable equipment class and a committed interval that does not conflict with another load.
Vehicle defects carry severity, report time, repair evidence and release time. Fleet Manager uses the defect record when a vehicle moves from Held or Maintenance back to Ready. Transport partners belong to an organization and hold a code, contact, address, active state and eligibility note. Dispatcher can confirm who is responsible for a load before dispatch and find a contact when a route or appointment changes.
How the work is organized
- Roster. Keep active drivers and eligibility dates current before they appear in a dispatch choice.
- Equipment. Review readiness, class, capacity and defects for the intended vehicle.
- Partner. Keep the carrier contact and eligibility note beside the operating organization.
What to agree during setup
Choose the source of truth for driver authorization and vehicle fleet IDs. Agree how often Fleet Manager checks an external authority or eligibility date. Define which defect severities hold a vehicle, who accepts repair evidence and who may enter the release time. The readiness label should reflect that decision, not replace it.
Agree how transport partner eligibility is assessed and who updates an inactive record. Standardize equipment class names between loads and vehicles. Name the connected source of shipment weight and the person who checks it against vehicle capacity. Give Dispatcher a clear path to request a replacement driver or vehicle when a commitment has already been made.
Check the handoff on an actual case
A dispatcher plans a load for a partner with an active contact. The proposed driver is active and eligible through the assignment end. The selected vehicle is active, Ready and of the requested equipment class. Fleet Manager confirms that no unresolved defect calls the release into question. Dispatcher checks the assignment interval against other work, then confirms the crew.
Next, record a critical defect against that vehicle and mark readiness Held. The dispatcher should choose another vehicle or hold the load until Fleet Manager reviews repair evidence and release time. A driver whose eligibility ends before the delivery window should similarly be replaced. The decision should be visible in the roster and assignment records rather than depending on a memory of a phone call.
