Get help preparing the next case

Use Proto to configure learning records and prepare decisions for people.

It can

  • Administrator: Prepare course definitions from approved codes, dates, organizations, and policy references for administrator review.
  • Operator: Help locate an enrollment, summarize its progress outcomes and documents, and draft a follow-up action for an assigned employee.
  • Reviewer: Gather the source revision, line outcomes, document verification, and prior decisions so the reviewer can decide.
  • Analyst: Explain status and exception summaries from authorized records, with links back to the source cases.

Stays with a person

  • A person must decide whether evidence supports completion.
  • Proto can present records and assist with configuration, but it should not make the independent review decision or treat an uncertain delivery result as successful.
  • The reviewer and operator retain their recorded responsibilities.
  • Usage depends on your ERP.AI plan and the work Proto performs.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set ownership

Agree the organizations, course owners, operator, reviewer, and analyst accounts. Check how employee records identify learners and case owners.

  2. Prepare the catalog

Load course codes, titles, effective periods, active state, and policy references. Confirm organization links.

  3. Pilot enrollments

Assign sample learners, add progress lines and documents, and rehearse a submitted case and a returned case.

  4. Review decisions

Use separate operator and reviewer accounts to confirm revision matching, reasons, and follow-up ownership.

  5. Check delivery

Trace an approved case through the operation result, steps, attempts, and delivery reference. Investigate an uncertain attempt before repeating it.

FAQ

Scope, rollout and pricing for Learning Management System.

All questions
How do I get started?

Click Get started, then use Proto to configure Learning Management System for your business. Begin with one organization, a few courses, assigned learners, and a case that can move from progress through independent review.

What identifies a course?

Use its code, title, owning organization, effective dates, and policy reference. Check those details before assigning a learner.

Can a learner have more than one enrollment?

Yes. Each enrollment links an employee owner to a particular course and organization, with its own status, progress, evidence, and history.

How is progress recorded?

Record individual requirement lines with an outcome, observation date, description, and source reference. Supporting documents link to the enrollment.

Who decides whether a case is approved?

A Learning Management Reviewer records the decision and reason against the source revision. The reviewer should be independent of the person preparing the case.

What happens when evidence is returned?

The operator can assign a follow-up action with an owner and due date, correct the source material, and present the changed revision for another review.

How can we trace a delivered result?

Use the delivery reference and the operation run, steps, and attempts. They retain source revision, operation key, result and receipt references.

What if a delivery attempt fails or is uncertain?

Investigate the operation key, failure reason, provider reference, and receipt before making another attempt. Keep the earlier result available for reconciliation.

Can we report progress by course?

Yes. The linked course, enrollment, progress, decision, and delivery records support course-level summaries and source-case inspection.

How should we set permissions?

Separate catalog maintenance, enrollment preparation, independent review, and read-only analysis. Rehearse access with distinct accounts and organization scopes.
