What you can do
Make the reviewed revision explicit
A review decision links to an enrollment, a source revision, a reviewer, a decision value, the decision date, a reason, and an evidence reference. The Learning Management Reviewer decides whether the submitted material supports completion. Approved, Returned, and Rejected are distinct outcomes. A Pending decision signals work still in the review queue.
How the work is organized
The operator prepares the enrollment and its evidence. The reviewer should be independent of that preparation and should compare the revision on the decision with the enrollment being reviewed. If the operator changes the evidence after review, the team must ask for a new decision on the changed revision. The status history and prior decision remain part of the case record.
- Check the revision. Match the decision to the exact enrollment version before treating it as approval.
- Record a reason. Explain a return or rejection so the operator knows what to address.
- Respect separation. The preparer cannot sign off on their own case through the reviewer path.
What to agree during setup
Agree who can act as a reviewer for each organization and what counts as independent preparation. Choose the evidence checklist for a course and the circumstances that call for a return rather than rejection. Rehearse an approved case, a returned case, and a case whose evidence changes after a decision. Determine who should receive a follow-up action and its due date.
Check the handoff on an actual case
An operator submits an enrollment after recording accepted progress lines. Validation finds that a supporting document has not been verified, so the case stays out of the reviewer’s decision queue. The operator obtains verification and submits the corrected case. The reviewer then inspects the verified revision and records a decision tied to the material actually examined.
Now suppose an approved case changes before delivery. A decision against the prior revision cannot silently cover the new material. The reviewer needs the updated revision and evidence reference to decide again. Rehearse this handoff with separate operator and reviewer accounts, and check the status history after each step. The result should explain who decided and which version they saw.
