What you can do

Keep each requirement attached to its enrollment

Progress lines describe the work observed for a learner’s enrollment. A line can carry its sequence, description, observed date, outcome, source reference, and completed requirement count. Supporting documents link back to the same enrollment and record a title, attachment, document date, external reference, verification state, and verifier. The Learning Management Operator assembles this material before asking for review.

How the work is organized

A progress outcome is Pending, Accepted, or Rejected. Treat that value as a recorded assessment of the line, not as the entire enrollment’s final decision. Validation checks the relevant lines and evidence before the current revision reaches the reviewer. A verified document gives a reader a named verifier, but the independent enrollment decision remains in its own record.

  • Keep source references. Record where each progress observation came from so a reviewer can trace it.
  • Link the document. Attach evidence to the correct enrollment and check its date and external reference.
  • Separate line outcomes. A rejected line needs its own reason and correction before the enrollment can be reconsidered.

What to agree during setup

For each course, agree which requirements need progress lines and which documents support them. Decide whether an observed date is the date work occurred or the date an operator entered it. Establish a naming convention for source references and uploaded files. Choose who checks document verification and how a corrected document is distinguished from its earlier version.

Check the handoff on an actual case

A learner completes most course requirements, while one progress line remains Pending. The operator sees the line alongside the enrollment and contacts the responsible person for its source evidence. Marking the whole enrollment complete from an aggregate count would obscure that pending line. The operator should resolve the individual outcome and keep the underlying reference visible.

In another case, an attachment has a plausible title but belongs to an earlier enrollment. The reviewer checks its source link and document date before relying on it. If the evidence is wrong, the operator attaches the correct item and records the reason for the change. Rehearse this case with the reviewer so the final decision relates to the right revision and documents.

What your team sees

  • Pending Progress — Lines still awaiting an outcome, shown with the enrollment and source reference.
  • Unverified Evidence — Documents needing verification before a decision.
  • Rejected Progress — Lines whose decision reason needs follow-up.
