What you can do

Account for each admission

Admissions lines belong to one parent event. A line carries its number and revision, an attendee reference where used, the quantity reserved and the price in US dollars. Reserved and admitted times distinguish an expected arrival from a person or group that has actually entered. The Admissions Coordinator uses that distinction when answering how much of an event’s capacity is committed and how much admission has taken place.

A reservation is a capacity decision. For a paid admission, the team should compare the linked provider capture with the line before treating it as settled. The provider receipt on the line helps staff find the payment evidence associated with a reservation. It is a reference to inspect, rather than a substitute for verified Payment Evidence. At the point of entry, the admission time should be recorded once so repeated scans do not turn one arrival into several admissions.

How the work is organized

  • Event link. Parent connects the admission line to the event whose capacity it uses.
  • Reservation. Quantity and reserved at show the committed scope and when it was held.
  • Entry. admitted at records the actual admission handoff independently of the reservation.

What to agree during setup

Agree how attendee references are assigned, whether a line can represent a group and how the team handles a partial arrival. Decide who may correct quantity before an event opens, and who reviews a change after an admission has been recorded. Map provider receipt references to the payment provider’s own records, and reconcile the capacity rule with the organization’s ticketing policy.

Check the handoff on an actual case

An event has a stated capacity and a team member reserves places for a guest group. Admissions Coordinator records the quantity under the event. Finance Reviewer checks whether the related provider capture is verified. On arrival, the coordinator records the admission time on the same line. If the group cancels before arrival, staff release the unused scope while keeping the earlier history available for review. At closeout, the Event Manager compares total admitted quantity with the event capacity and verified captures. A discrepancy goes to the reviewer before completion.

At shift change, the next Admissions Coordinator should be able to distinguish places held for arrivals from places already used. Review the parent event and the line revision before changing a quantity. If the event has been cancelled, inspect its admitted history before releasing unused reservations. The Finance Reviewer should be able to trace a paid line to the same provider effect used in closeout.

What your team sees

  • Admission Lines — The selected event’s reserved quantities, receipts and admission times.
  • Open Events — The current programs that need admission coverage.
