What you can do

Make the permission to start explicit

A scheduled work order still needs a valid safety permit before the Technician starts maintenance. The permit records its type, the work order it covers, the issuing person and the validity interval. The Maintenance Manager reviews that context during planning and approves the permit for the intended work window.

The execution workflow checks the permit before allowing the start action. This makes the permit part of the operating handoff between the planner and the Technician. The team can inspect an Approved permit and its dates together, then decide whether the planned job still fits the authorized window when conditions change.

How the work is organized

  • Requested permission. Link the permit to the maintenance work order and identify the issuing person. Choose a permit type that the team understands and enter the beginning and end of its validity. Review the job scope before authorizing the work.
  • Approved window. The Maintenance Manager approves the permit during planning. The Technician checks its validity when starting the scheduled job. A permit for another work order or a window that has already ended must not be treated as permission for this job.
  • Permit follow-up. Requested, Approved, Expired and Closed distinguish the recorded permit states. Agree who follows up when the job is delayed or the authorized period ends, using your site’s operating procedure for any renewed permission.

What to agree during setup

Agree the permit types and the site procedure each label refers to. The person issuing a permit must have the correct account-to-person mapping, and the Maintenance Manager must understand the authorization they are making. Keep the written work description specific enough to judge whether the permit covers the task.

Rehearse how the team interprets dates and times across shifts. Confirm how a delayed job gets a newly authorized window before work resumes. Keep isolation procedures, physical safety checks and any external safety system under the responsible site’s control. Connecting an existing permit system is a setup choice that needs its own owner and reconciliation procedure.

Check the handoff on an actual case

A scheduled belt replacement is planned for a stopped conveyor. The Maintenance Manager reviews the requested permit, confirms the work order and approves its validity window. The assigned Technician opens the work and starts it during that interval. The workflow should allow the valid start and move the work into execution.

Repeat the exercise with the permit window already ended. The Technician should remain unable to start that scheduled work through the guarded action. The manager then reviews the actual timing and arranges the proper authorization. Also check a permit linked to a neighboring conveyor: its Approved state cannot substitute for the permit on the intended job. Resolve these cases before relying on the handoff across shifts.

What your team sees

  • Permit Requests — Permits awaiting the Maintenance Manager’s review, with issuer and validity interval.
  • Approved Permits — Approved permission records that the team checks against the planned work and start time.

Follow the work through
