What you can do
Start with an accountable policy
The Insurance Coordinator opens a policy for a named assured within the right insurer organization. Record the subject, effective date, premium and owner before review. The policy number stays with the record as its status changes, so a reviewer can find the same case after issuance. The owner should be a current team member of the organization handling the policy. A policyholder’s eligibility note gives the reviewer context; it does not substitute for their decision.
A useful first case is a cargo shipment with an assured already known to the organization. The coordinator selects that assured, identifies the marine subject and enters the effective date. Keep the policy in Draft while coverage and supporting material are prepared. When the record is ready, submit its revision for an independent decision. The Policy Review Queue is the handoff point for the Authorized Underwriter.
How the work is organized
- Policy identity. The number, subject, assured and insurer organization identify the obligation under review.
- Ownership. The coordinator keeps a named owner on the case while the underwriter makes the review decision.
- Lifecycle. Draft, under review, Issued, Active, Expired and Cancelled distinguish preparation from issued coverage and later policy state.
What to agree during setup
Decide how the team assigns policy owners, identifies the insurer organization and matches an assured to a policy. Agree how policy numbers are allocated and who can correct a mistaken assured before review. Set the operational rule for moving an issued policy into Active, and confirm how effective and expiry dates are checked. A policy’s premium amount is recorded in US dollars; collection is tracked separately through a verified premium receipt.
Check the handoff on an actual case
Take a draft cargo policy through review. Confirm the coordinator sees it in My Policies, the underwriter sees it in Policy Review Queue and the review decision points to the current revision. After carrier issuance, check that the carrier identifier and issue time are on the policy and that the operation receipt ties the action to the same policy. The Issued and Active Policies screen should then show the case without losing its owner or assured. If a carrier action fails, follow its receipt in the exception queue before trying to interpret the status.
What your team sees
- Issued and Active Policies — Follow issued coverage by assured, owner and effective date.
- My Policies — Give an assigned coordinator a focused policy list.
- Policy Status Board — Compare work in preparation, review and issued states.
Follow the work through
Use policy preparation to set up the case, then review and issuance to rehearse the decision and carrier result.
