AI agent

Prepare the case with Proto

Ask Proto to prepare studio records and evidence for human review.

It can

  • Property Manager: Show requested bookings for a session and compare their dates and places with capacity.
  • Front Desk Agent: Find the correct booking and session before recording attendance or a belt assessment.
  • Operations Reviewer: Present the linked assessment, attendance and booking context for a decision.
  • Finance Officer: Gather payments and service items for one reservation so the officer can reconcile them.

Stays with a person

  • A staff member decides whether a booking can be confirmed, an assessment result is accepted and a payment receipt is verified.
  • Proto can prepare linked records for that review.
  • It should not treat a pending payment or a registered tournament entry as proof of completion.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating rules

Define session capacity, booking confirmation, attendance, assessment review and payment confirmation owners.

  2. Prepare reference records

Load people, members, plan terms and sessions, then check identifiers and permissions.

  3. Run a booking cycle

Enter requests, inspect conflicting intervals, confirm an eligible booking and record attendance.

  4. Exercise specialty work

Attach a belt assessment and a tournament entry to the correct booking and rehearse review.

  5. Reconcile finance

Compare service items, pending payments and confirmed receipts before the manager completes a booking.

All questions
How do I get started?

Click Get started, then use Proto to configure Martial Arts Studio for your business. Start with current members, a manageable set of sessions and one representative booking cycle.

Who confirms a class booking?

Property Manager owns bookings and checks session capacity, dates and places before moving a request to Confirmed.

Can a member have several bookings?

Yes. Each booking has its own reservation number, session, interval, places, rate and status.

Where is attendance recorded?

An attendance task links the booking, session and recording person. Its expected and check-in dates describe the work.

How do belt results stay traceable?

How are tournament entries tracked?

An entry stores the tournament name, event date, amount, booking and registration state.

Does a confirmed entry mean payment is confirmed?

The registration and payment have separate states. Finance Officer verifies a receipt before marking the payment Confirmed.

How should a withdrawal be handled?

Mark the entry Withdrawn and review any linked payment under the studio's refund policy.

What happens when a session is unavailable?

Property Manager reviews its operating state and the booking schedule before making another commitment.

Who reviews assessment evidence?
