What you can do

Record what happened at the session

Attendance records identify the linked booking, session and person who recorded the work. The task type distinguishes Cleaning, Maintenance and Member Service. The expected date and check-in date give staff a way to compare planned work with actual activity. Its status runs from Open through Assigned and in progress to Completed. That sequence is for the task record; the linked booking has its own reservation status.

The Front Desk Agent can manage attendance and the Property Manager can review and manage the same operational work. People records connect a named staff member to a user account. Keep that association current so a recorded check-in can be attributed to the person who handled it. A separate member record identifies the customer; it should not be used as the staff recorder.

How the work is organized

  • Linkage. Every attendance item points to one booking and one session, preserving the reason for the work.
  • Ownership. The recorded person connects the task to an accountable staff identity.
  • Progress. Staff distinguish open, assigned, in-progress and completed tasks without changing the booking prematurely.

What to agree during setup

Decide when an attendance task is created and what the studio means by its task type. For example, Member Service can represent work associated with a member’s session, while Cleaning and Maintenance describe facility follow-up. Agree how staff correct an incorrect check-in date and who may close a task. The team should also decide whether a task can remain open after the linked booking is completed; that operating rule should be checked at handoff.

The attendance record has both a session and a booking reference. Choose a booking whose session matches the attendance session. This keeps later review coherent. If a staff member finds the wrong session on the selected booking, resolve the booking before recording the check-in. Do not use a completed attendance task as a substitute for a confirmed booking or confirmed payment.

Check the handoff on an actual case

A confirmed booking is ready for an evening class. The Front Desk Agent opens the reservation, checks the session and creates a Member Service task with an expected date and the correct recorder. At check-in, the agent records the actual date and moves the task through its working states. The Property Manager can then inspect the completed task beside the booking. If the room needs attention afterward, record a separate Cleaning or Maintenance task against the relevant booking and session.
