What you can do
Decide what supply to arrange
A suggested supply quantity gives Production Planner a starting point for arranging a purchase or production commitment. Review the item, make or buy choice, quantity, release date and need date against the customer requirement. Then compare the suggestion with the actual supply the team can arrange.
Existing suggestions marked Proposed or Firmed are considered during MRP. When the same demand is reviewed again, the planner can check the quantity already suggested before requesting more coverage. A change to Released or Cancelled needs reconciliation with the actual purchasing or production commitment before the next planning review.
How the work is organized
- Review the quantity. Compare the suggested item and quantity with approved demand, stock after reservations and incoming supply. Confirm the item unit before accepting a changed quantity.
- Check the timing. Compare the release date and need date with the customer requirement and the source planning assumptions. Agree engineering and lead-time inputs with their source owners during setup.
- Arrange the commitment. Production Planner prepares the purchase for a Buy choice or the work order for Make. Open the actual document and check its item, quantity and date before updating the suggestion’s state.
What to agree during setup
Agree who firms a suggestion and what staff check before marking it Released. Production Planner and Production Operator can maintain suggestions. If the team needs a narrower action policy, configure and rehearse that responsibility before live use. Quality Reviewer can inspect the planning choice and communicate findings.
Review suggestions by the relevant item and date population alongside the run being discussed. Keep that population consistent when comparing repeated attempts. Establish a practical document-checking procedure so the planner can identify the actual supply arranged for a requirement and explain changes when customer demand is amended or cancelled.
Check the handoff on an actual case
Review a Buy suggestion for 30 components needed next Thursday. Production Planner confirms the approved requirement and the stock available after reservations. If the supplier can provide only 20 by that date, open the purchase lines and compare their quantity and due date with the remaining requirement. Discuss the uncovered quantity before accepting the supply plan.
Mark the reviewed suggestion Firmed and repeat planning with the same inputs. Compare the resulting coverage with the prior attempt. Arrange the actual purchase, then reconcile the suggestion before marking it Released so the team can explain which source now represents the incoming quantity.
Repeat the case with a Make suggestion. Prepare the intended production work and compare its planned end with the need date. Follow the guarded work-order release process before authorizing production. Check the work order after release and use its operating evidence when reviewing progress. Rehearse a cancellation as well so the next run reflects the commitments still intended to cover demand.
What your team sees
